The Front Desk Guest Service Representative role is a pivotal position within our hotel team, serving as the first point of contact for guests. This role involves maintaining positive guest interactions by responding courteously and efficiently to their needs, requests, and any necessary service transactions. The representative will be responsible for ensuring the highest quality service while upholding hotel standards across all guest interactions. Key responsibilities include greeting guests with a friendly smile, performing guest-related services such as wake-up calls, handling guest complaints and requests, providing local information, and maintaining lobby cleanliness.

This role requires managing guest reservations, checking guests in and out, handling guest accounting and cashier functions, and promoting future sales by monitoring room status and rate availability through the front desk computer system. Confidentiality of guest information and hotel data is paramount, alongside completing daily financial reconciliations including cash counts and bank deposits. The position also involves preparing audit packages for management approval and completing various operational reports. Collaboration with housekeeping and other departments ensures smooth communication around room status changes and maintenance needs.

The Front Desk Guest Service Representative must be adaptable, able to handle multiple tasks efficiently, and work both independently and as part of a team. This position requires cross-training across various front desk shifts and potentially other hotel departments, including training new hires. Night shift responsibilities include daily transaction reconciliation and preparation of audit packages. Compliance with OSHA standards and maintaining a professional appearance while delivering friendly and attentive service are essential elements of this role. The job may require working nights, weekends, and holidays, with varying schedules based on business needs. Physical demands include standing, walking, lifting, and occasional outdoor work in varying weather conditions. The successful candidate will be legally authorized to work in the United States, with preferred qualifications including being 17 years or older and able to comfortably lift 50 pounds.

Job Requirements

Job Qualifications

  • 1-2 years in a previous customer service position preferred
  • Basic office skills including math, cash handling, computer skills, and timekeeping
  • Basic English communication skills, both verbal and written
  • Ability to change tasks frequently while operating a computer and switchboard
  • Ability to work with minimal supervision
  • Must maintain professional appearance in the provided uniform
  • Preferred qualifications include being 17 years or older and able to comfortably lift 50 pounds

Job Duties

  • Welcome guests with friendly greeting and smile and perform all guest related services
  • Handle reservation requests
  • Check guests in and out
  • Handle guest accounting and cashier functions
  • Make, change and monitor reservations
  • Review and report rate availability using the front desk computer system
  • Update and monitor room status
  • Maintain confidentiality of guest information and pertinent hotel data
  • Perform daily cash count
  • Prepare bank deposit and review audit packages
  • Complete reporting for daily occupancy, revenue, weekly inn operations, expenditures ledger, and update corporate memoranda and operations manuals
  • Communicate with Inn Management and other Guest Service Representatives about problems, requests, and concerns regarding guests or rooms
  • Work with housekeeping to communicate checkouts, stay-overs, sleepers, skips, rooms cleaned, and rooms in need of maintenance
  • Cross train in all front desk shifts and other departments in the hotel
  • Train new hires in front desk functions
  • Perform night audit shift duties including daily transaction reconciliation and preparing audit package for hotel management approval
  • Comply with all OSHA standards
  • Provide special services for guests upon request
  • Assist in coordinating special events such as holiday gatherings and bus tours
  • Perform other duties as assigned
