The Front Desk Coordinator I position is an entry-level role designed for individuals seeking to start or advance their career in medical office administration within a clinical setting. This role is critical as the first point of contact for patients, and it requires both administrative aptitude and excellent interpersonal skills. Responsibilities include managing high volumes of telephone calls, scheduling patient appointments and procedures, handling patient check-ins and check-outs, and maintaining accurate patient records utilizing electronic medical records (EMR) systems. The coordinator also collects payments, reconciles daily charges, verifies patient account balances, and assists with filing and clerical tasks. Attention to detail, confidentiality, and the ability to multitask in a fast-paced healthcare environment are essential for success.

Job Requirements

  • High school diploma or GED
  • minimum of two years of experience in a medical office or related front office role
  • entry level (1-4 years experience) or excess of 4 years experience if meeting only basic requirements with additional supervision needed
  • knowledge of clinic policies and procedures
  • proficiency with computer programs and applications
  • basic arithmetic skills to make calculations and reconcile figures
  • skill in operating office equipment
  • skill in handling paperwork and filing
  • skill in handling and triaging phone calls
  • strong written and verbal communication skills
  • ability to learn and use Microsoft Excel, email, Internet, and PowerPoint
  • ability to organize, prioritize tasks, and adapt to changing demands

Job Qualifications

  • minimum of two years of experience in a medical office
  • front office or scheduling experience preferred
  • knowledge of clinic policies and procedures

Job Duties

  • Answer and screens high volume telephone calls in a courteous manner
  • schedule patient appointments and procedures according to established policies and procedures
  • check-in patients upon arrival at the office as well as check-out upon departure
  • obtain accurate information from patients and ensure all registration forms are complete
  • collect patient and insurance payments and reconcile charges on a daily basis
  • verify account balances and refunds for accuracy
  • provide information to patients regarding unpaid balances
  • file records in appropriate sections of patient charts in EMR
  • prepare patient charts in advance and scan documents into charts in EMR
  • transcribe letters and create forms as needed
  • maintain files and records in a confidential manner
  • maintain organization and efficiency of front office including office supply inventory
  • maintain patient confidentiality
  • perform other related duties as directed or assigned
