The clinic is currently seeking a Receptionist and Patient Care Coordinator to join their team. Under the general direction of the clinic administrator, this vital role acts as the first point of contact for patients and serves as a liaison between medical and support staff. The Receptionist will be responsible for responding to patient inquiries, managing the clinic’s main telephone lines, and facilitating patient check-in and check-out processes. This role requires excellent organizational, interpersonal, and communication skills to handle a variety of administrative tasks and deliver exceptional patient services.

In addition to administrative duties, the role also involves important patient care coordination responsibilities, including assisting patients with form completion through the electronic medical records system, managing patient accounts, and supporting billing activities. This position plays a crucial role in ensuring accuracy in patient records, billing, appointments, and correspondence between referring and clinic physicians.

Job Duties

  • Responds to patient inquiries questions and concerns regarding registration cost of treatment
  • serves as the receptionist for the clinic’s main telephone lines
  • serves as a liaison between medical and support staff for all patient issues including but not limited to patient check-in and out grievances
  • provides general office support with a variety of administrative tasks
  • performs various marketing duties to actively promote the clinic
  • greets guests in a professional friendly and hospitable manner
  • handles and directs incoming telephone calls in a polite friendly and timely manner
  • ensures patient appointments are confirmed at least one day in advance and that the patient benefits coordinator billing company performs insurance verifications and prior authorizations
  • reconciles daily receipts
  • maintains and verifies EHR for accuracy of forms photos notes and etc
  • maintains a clean and welcoming front office environment
  • operates and maintains copiers fax machines scanners and office equipment
  • organizes and maintains clinic forms office supplies and stockrooms
  • checks patient billing for accuracy prior to payment of CPL bills
  • ensures EHR accuracy by scanning files to correct patient account
  • secures the building and follows opening and closing procedures
  • coordinates onsite and offsite meetings
  • maintains professional appearance and demeanor
  • screens and sorts mail electronic mail and faxed communications
  • organizes the clinic’s calendar
  • ensures compliance with OSHA HIPAA HR policies and other regulations
  • assists patients in completing electronic medical record forms
  • sets up accounts and prepares medical records for new patients
  • reviews patient account information
  • provides patients with a summary of medical charges and collects payments
  • posts charges and supports billing services
  • emails or mails new patient packets
  • coordinates patient flow and notifies back-office staff of patient arrival
  • directs billing inquiries and coordinates with billing company
  • schedules patient appointments for follow-up treatments
  • maintains patient privacy and confidentiality
  • acts as liaison between medical professionals clinic staff and patients
  • manages correspondence between referring and clinic physicians
  • updates patient fee schedules
  • performs other duties as assigned
