This role is designed for a Front Desk Receptionist who will act as the first point of contact, responsible for greeting individuals and managing telephone communications with the utmost professionalism. The position requires an individual who is capable of multitasking effectively throughout their shift, which may vary between 8 am to 4 pm and 4 pm to 8 pm, including weekends and holidays. The Front Desk Receptionist will play a crucial role in maintaining the organization’s smooth operation by handling a variety of administrative duties, such as message taking, appointment scheduling for residents and family members, managing communication logs, and coordinating with various departments. The receptionist will also assist with collating marketing materials and ensuring the reception area is orderly and welcoming at all times.

Job Duties

  • Carries out telephone answering and reception duties as required
  • takes complete messages with pertinent information and communicates messages to the intended recipient
  • greets residents and visitors
  • answers inquiries and gives directions
  • collates brochures for the marketing department
  • prepares meal tickets for team members and family members
  • tallies meal count sheets for the Dining staff
  • updates the Resident Phone List and Email List
  • updates Guest and Sign-In Logs as necessary
  • manages appointments for residents and family members such as hair dresser and transportation
  • maintains and keeps desk and entry area neat and organized
  • organizes and distributes mail to residents, Executive Director and Department Heads
  • maintains adherence to all company personnel policies and established operating policies and procedures
  • other duties as assigned
