The Front Desk Clerk role at Hilton Grand Vacations is a pivotal position responsible for creating positive, memorable interactions with owners and guests. This role involves managing check-in and check-out procedures, responding promptly to guest requests, and maintaining efficient operation of the reservation system. The Front Desk Clerk plays a key part in maintaining the smooth running of front desk functions by inputting data accurately into computerized systems, updating records, and managing availability of rental units. This position also entails generating invoices, handling payments related to rental programs and merchandise sales, and managing safety deposit boxes.

Additionally, Front Desk Clerks receive and process housekeeping and maintenance requests, coordinate with respective departments, and ensure the front desk is consistently stocked with necessary supplies. They provide comprehensive information on local attractions and resort amenities to enhance the guest experience. Part of the administrative duties includes preparing arrival packets and typing correspondence or reports for management when required. This role requires a courteous and professional demeanor, especially when handling upset guests or difficult situations, making the ability to communicate effectively in English, both verbally and in writing, essential.

Job Requirements

  • Six months of customer service experience
  • Proficiency in English language
  • Strong interpersonal and communication skills

  • Basic computer skills including reservation systems
  • Ability to handle cash and credit card transactions

Job Duties

  • Ensure that every interaction with an owner or guest is a positive and memorable experience while checking them in and out of the property and responding to their requests
  • Input information into the computerized reservations system to update and maintain records
  • Access a reservation system to resolve unit availability and assist guests with reservations or changes as needed
  • Generate invoices and collect monies due through the rental program and merchandise sales
  • Maintain safety deposit boxes
  • Receive housekeeping and maintenance requests or work orders and contact accurate departmental personnel
  • Prepare and consistently restock the front desk with supplies including preparing arrival packets
  • Provide information on area attractions and resort amenities
  • Type correspondence and reports for management as needed
