The open position within the Human Services Department at the Laurel Multi-Service Center is that of a Front Desk Operator who plays a vital role in the day-to-day operations of the center. This individual is the first point of contact for visitors and callers, responsible for creating a warm and friendly atmosphere while efficiently managing a multi-line telephone system. The role requires attentiveness to detail and a high level of professionalism in greeting visitors, directing inquiries, and ensuring smooth communication between the public and the center's many community partners. The person in this position also oversees security and visitor check-in procedures, maintaining accurate logs and coordinating with on-site security staff to ensure a safe environment.
Additional duties include processing incoming and outgoing mail, maintaining an adequate postage meter, and keeping informational materials well-stocked and organized. The position demands confidentiality and discretion when handling visitor information and requires coordination and logistical support during special events. Bilingual fluency in English and Spanish is preferred, enhancing the ability to serve a diverse population effectively. The Front Desk Operator must be reliable and proactive in assisting with clerical duties, data entry, and janitorial support as needed to uphold the center’s standards. Job Requirements
- High school diploma or GED
- Minimum of 1 year relevant customer service experience
- Ability to obtain ICS-100 and IS-700 Certifications within one week of hire
- Willingness to follow security and check-in procedures
- Ability to handle confidential information
- Capability to manage multi-line telephone system

Job Qualifications
- High school diploma or GED from an accredited school
- Minimum of 1 year of relevant customer service experience
- Ability to obtain Incident Command System ICS-100 and IS-700 Certifications within one week of hire
- Strong communication and interpersonal skills
- Ability to manage multi-line telephone system
- Bilingual in English and Spanish preferred
- Ability to maintain confidentiality and discretion
- Proficient in basic administrative duties such as filing and data entry
Job Duties
- Provides a warm and friendly atmosphere to all individuals entering the center
- Performs front desk duties such as greet all visitors, answer the phones, take messages and manage general inquiries
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable
- Follows the LMSC’s check-in and security procedures
- Maintains visitor logs
- Coordinates with on-site building security by following established procedures, identifying and relaying security concerns and maintaining a record of visitors
- Ensures visitors are directed to the appropriate staff or community partner
- Notifies LMSC personnel of visitor arrivals
- Maintains knowledge of who is in the center and be cognizant of potential threats as well
- Maintains a high level of professionalism in all interactions with visitors and staff
- Assists visitors with information about the center’s services and programs
- Handles all visitor information with confidentiality and discretion
- Monitors entry points to ensure safety and security of the center, assists with janitorial support as needed
- Assists with basic administrative tasks such as filing, data entry and managing mail
- Provides logistical support and ensures a smooth operation during events
- Puts phone in voicemail mode at the end of the business day and takes it out of voicemail mode at the beginning of the business day
- Assists with clerical duties for the LMSC as requested
- Willingly and cooperatively accepts other related duties and responsibilities as assigned
