We are currently seeking a dedicated and proactive Hotel Guest Services Representative to join our dynamic team on a full-time basis. This role is essential in delivering an enjoyable vacation experience to our guests by providing comprehensive support and excellent customer service. The ideal candidate will be the first point of contact for guests, assisting with inquiries, reservations, and ensuring smooth check-in and check-out processes. Responsibilities include answering phone calls, managing guest requests via direct mail and personal interactions, and informing guests about hotel policies, local events, and attractions. Additionally, the representative will handle reservation payments, deposits, and refunds, as well as manage communication logistics such as incoming messages and mail.

The role also demands the coordination of housekeeping and maintenance requests to guarantee guest satisfaction and maintain the hotel’s operational standards. The candidate will enforce hotel policies, conduct audits of shift reports, and perform key and folio audits to ensure accuracy and compliance. Exceptional organizational skills, a customer-first attitude, and the ability to resolve minor complaints diplomatically are crucial for success in this position. Working closely with the Front Office Manager or Resorts Manager when necessary, the Hotel Guest Services Representative ensures that every guest interaction is handled professionally and efficiently, contributing significantly to the overall guest experience and hotel reputation. Job Duties

  • Provides customer service and support to guests with questions and inquiries via phone, direct mail, and direct contact
  • Provides an enjoyable vacation experience from check in to check out
  • Educates the guests on hotel policies and area events and attractions
  • Performs as hotel curb-side greeter and express check in agent for guests upon arrival
  • Conducts switchboard operations and relays guest’s messages/incoming mail when appropriate
  • Responds to guest inquiries, questions, suggestions and resolves minor complaints and discrepancies
  • Processes reservation payments, deposits, and refunds
  • Confirms address, telephone, and email information for all guests
  • Reconciles shift activity reports and performs key and folio audits
  • Enforces hotel policies and procedures
  • Coordinates housekeeping and maintenance reported requests and follows up with guests
  • Performs related duties as assigned or as situation dictates
