The opportunity at our Santa Clara, CA campus is for a part-time Front Desk Associate who will play a critical role as the welcoming face of AoPS Academy. This position involves engaging directly with students, families, and staff, providing exceptional customer service in a busy and vibrant academic environment. Working weekdays and weekends during the academic year with additional summer daytime shifts, this role is essential to maintaining smooth campus operations.
As the Front Desk Associate, your responsibilities will be diverse, encompassing receptionist duties such as answering phone calls, responding to emails, managing calendars, and maintaining communication flows between staff and clients. You will support various administrative tasks, including data entry, generating reports, organizing classroom and office supplies, and assisting with admissions consultations and follow-ups. Additionally, you will supervise students during class transitions and perform light cleaning duties to ensure the facility remains welcoming and well-maintained.
This part-time, in-person role requires a friendly, organized, and proactive individual capable of working independently and collaboratively within a team. Strong communication skills, computer proficiency, and the ability to handle customer inquiries with confidence and professionalism are essential. The role also demands flexibility to problem-solve effectively under pressure while maintaining the highest degree of confidentiality and professionalism.

Job Requirements
- High school diploma or equivalent
- experience in customer service or administrative roles
- availability to work weekday afternoons/evenings and weekends with some weekend availability required
- legal authorization to work in the US
- excellent communication skills
- ability to use computers proficiently
- ability to work independently and as part of a team
- physical ability to lift up to 25lbs
- willingness to perform light cleaning and organizational tasks

Job Qualifications
- Experience confidently interacting with customers
- experience interacting with families and students from elementary through high school preferred

Job Duties
- Serve as campus receptionist
- answer the phone, respond to voicemails, and pass on relevant information to the appropriate staff member
- manage and respond to customer inquiries both by phone and email
- maintain multiple calendars, schedule meetings and ensure everything is up-to-date
- use internal database to generate reports and lists
- data entry
- provide admissions assistance as needed with consultation requests, scheduling, and post-consultation follow-ups
- organize and prepare classroom and office supplies
- supervise students between classes
- perform light cleaning duties
- assume responsibility for the organization, operation, and appearance of the lobby and front desk area
- participate in occasional outreach/in-reach opportunities
- other duties as assigned
