The Front Desk Associate will be responsible for greeting visitors and clients warmly, managing a multi-line phone system with professional phone etiquette, and handling scheduling tasks such as calendar management and appointment setting. Additionally, the role includes maintaining organized filing systems, conducting data entry, proofreading documents, and assisting with office management duties like supply inventory and basic bookkeeping using QuickBooks. The ideal candidate will also support clerical tasks including typing correspondence, managing emails using Google Workspace, and assisting with various administrative projects.

Job Requirements

  • High school diploma or equivalent
  • Proven experience in office management or administrative roles
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Experience with multi-line phone systems
  • Strong communication skills in English
  • Ability to handle scheduling and calendar management
  • Knowledge of QuickBooks preferred but not required
  • Ability to manage time effectively in a fast-paced environment

Job Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills
  • Demonstrated proficiency in computer literacy including Microsoft Office Suite Word Excel Outlook and Google Workspace tools
  • Prior office or clerical experience with familiarity in data entry filing proofreading and document management
  • Excellent communication skills in English bilingual abilities are a plus for serving diverse audiences
  • Experience with multi-line phone systems and phone etiquette to handle high call volumes professionally
  • Knowledge of QuickBooks or bookkeeping experience is desirable but not required
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Personal assistant or medical dental receptionist experience is advantageous for understanding client needs and appointment scheduling
