This full-time, non-management Front Desk Agent position is an excellent opportunity for a hospitality professional passionate about delivering exceptional customer service in a dynamic environment. The role is focused on managing front office operations under the Hotel Managers Group standards. Primary responsibilities include greeting guests, managing check-ins and check-outs, handling reservations, and addressing guest inquiries promptly and professionally. The position requires maintaining accurate financial records and room assignments while strictly following company policies and procedures to ensure smooth hotel operations. This role plays a crucial part in maximizing room occupancy and revenue through effective communication and guest relationship management.

The Front Desk Agent is expected to provide an exceptional first and last impression of the hotel, ensuring every guest feels welcome and valued. The agent will review daily front desk logs, coordinate with outgoing shifts, manage cash drawers, and verify room assignments with attention to detail. They will handle guest folio charges including telephone and food services, work closely with housekeeping to align guest room statuses, and verify credit card approvals to maintain financial accuracy. Additional duties involve preparing registration cards, resolving disputes collaboratively with management, managing shift deposits securely, and maintaining clear communication with both guests and staff through detailed shift logs.

Job Requirements

Job Duties

  • Review the front desk log for any unusual situations or conditions and communicate with outgoing staff
  • Count the money in the cash drawer and sign in for the shift
  • Check the number of occupied rooms using the rack or computerized Expected Arrivals Report
  • Review reservations for incoming groups, room blocks, special requests, and VIP requirements
  • Assign and block rooms, ensuring guest details and stay dates are accurately recorded
  • Separate guaranteed reservations from holds and check for duplicate bookings
  • Post all telephone, food, and miscellaneous charges to guest folios
  • Review the Housekeeping Report to ensure accuracy with in-house guest records
  • Review check-out folios to ensure a zero balance and verify credit card approval codes
  • Notify guests exceeding credit limits and request immediate settlement
  • Prepare guest registration cards for pre-registration
  • Review disputed charges and collaborate with management for resolution
  • Prepare a Shift Deposit Report, count cash drawer funds, and secure the deposit in a locked safe
  • Update the Front Desk Log with pertinent information for the next shift
  • Ensure proper uniform and adherence to hotel appearance standards
  • Accurately maintain a cash bank and perform guest accounting functions
  • Maximize room rates and promote hotel services to achieve occupancy and revenue goals
  • Inform management of unresolved guest complaints and suggestions
  • Read and adhere to all posted memos and company policies
  • Follow the hotel telephone etiquette standards
  • Notify Housekeeping of late check-outs and stay-overs
  • Contact guests who have not checked out on time to confirm their revised departure
  • Replenish front desk supplies as needed
  • Maintain cleanliness and order at the front desk
  • Collect and sanitize room keys and organize key storage
  • Perform additional duties as assigned
  • Maintain knowledge of hotel services, events, and departmental functions to assist guests
  • Demonstrate proficiency in using front office equipment and software
