The Front Desk Agent plays a vital role in the Rooms - Front Office department, serving as the first point of contact for guests and a key contributor to an elevated guest experience. This full-time permanent position requires a professional who is dedicated to providing courteous, efficient, and personalized service throughout the guest’s journey—from arrival to departure. The role involves managing check-ins and check-outs, processing payments following established hotel policies, and offering comprehensive information about the hotel's services, amenities, and the surrounding area.

This position demands flexibility in scheduling, including availability for evenings, weekdays, weekends, and holidays, with an hourly compensation rate ranging from $23.00 to $24.00. The Front Desk Agent must be adept at anticipating guest needs, resolving complaints to ensure satisfaction, and maintaining positive interactions under all circumstances. Additionally, the individual must uphold the highest safety, health, and sanitation standards consistent with guidelines from Rosewood, the CDC, OSHA, and local authorities to help mitigate the spread of COVID-19.

Key responsibilities include mastering knowledge of hotel features, room types, rates, packages, group arrivals, and VIP protocols. The agent is responsible for accurately setting up guest accounts, managing overbookings, documenting guest communications, coordinating with other departments, and securing financial transactions according to strict cashiering procedures. Proficiency with property management systems like OPERA and strong computer skills are essential. The Front Desk Agent also contributes to various reporting and administrative tasks that support seamless hotel operations.

Job Requirements

  • High school diploma or equivalent
  • Previous experience as a Front Desk Agent preferably in a luxury hotel
  • Ability to work flexible hours including evenings, weekends, holidays
  • Strong communication and interpersonal skills
  • Proficiency in property management systems, preferably OPERA
  • Ability to handle physical requirements including standing for long periods and lifting up to 35 pounds
  • Ability to maintain confidentiality of guest information
  • Valid driver’s license advantageous
  • Ability to remain calm and courteous in stressful situations
  • Ability to perform cashiering and financial transaction procedures accurately

Job Qualifications

  • Previous experience as a Front Desk Agent, preferably in a luxury hotel
  • High school diploma or equivalent education
  • Ability to perform job functions with attention to detail, speed and accuracy
  • Ability to prioritize, organize and follow up
  • Clear thinker capable of remaining calm and resolving problems using good judgment
  • Ability to follow directions thoroughly
  • Understanding of guest service needs

  • Ability to input and access information in the property management system

  • Mid-level to advanced computer skills
  • Fluency in English required, other languages preferred
  • Previous OPERA experience preferred

Job Duties

  • Support, maintain and adhere to all safety, health and sanitary guidelines
  • Maintain complete knowledge of and comply with all departmental policies, service procedures and standards
  • Ensure that standards are maintained at a superior level daily
  • Maintain complete knowledge of correct maintenance and use of equipment
  • Anticipate guests’ needs, respond promptly and acknowledge all guests regardless of time or busyness
  • Maintain positive guest relations at all times
  • Resolve guest complaints ensuring guest satisfaction
  • Maintain complete knowledge of all hotel features, room types, rates, promotions, daily house count and room availability
  • Promote positive guest relations to all individuals approaching the Front Desk
  • Communicate VIP arrivals to designated personnel
  • Set up accurate accounts for each guest checking in
  • Handle overbooked or walked guests
  • Document all guest requests, complaints or problems
  • Document and confirm reservations and cancellations
  • Communicate pertinent guest information to designated departments
  • Generate, print and distribute daily and weekly reports
  • Resolve discrepancies on the room status report with Housekeeping
  • Solicit guest comments on their stay
  • Assist all departments and executives in obtaining appropriate group and guest information
  • Obtain assigned bank and ensure accuracy and security of monies
  • Adhere to all cashiering procedures including processing adjustment vouchers, paid-outs, correction vouchers and miscellaneous charges
  • Perform all other duties as required
