Job Description

The Front Desk Associate plays a critical role in ensuring a positive and smooth experience for hotel guests from the moment of arrival through departure. In this role, you will greet and warmly welcome guests, efficiently handle check-in and check-out procedures, and assist with reservation management including pre-registration and room blocking when needed. You will be the first point of contact for guests and therefore must exemplify professionalism and friendliness at all times.

In addition to guest relations, this position requires strong operational skills such as cash handling, charge posting, and familiarity with the Front Office computer system. You will be expected to accurately process payments including cash, checks, and credit cards while maintaining attention to detail to avoid errors. The role also demands knowledge of hotel rates, discounts, and cancellation and relocation procedures to accurately manage reservations and respond to guest needs. Quick and efficient execution of tasks like entering reservations (usually within two minutes) is essential to maintaining an effective workflow.

Working in a standard office environment, you will spend significant time seated at a desk using computer systems, but will also occasionally stand, walk, and engage in other physical activities like handling office supplies or files. Effective verbal and written communication skills are vital for liaising with guests and team members. Job Requirements

  • High school diploma or equivalent
  • Ability to work in a standard office environment
  • Ability to sit for prolonged periods (6-8 hours a day) and occasional standing and walking throughout the workday
  • Frequent use of hands and fingers for keyboarding, typing and operating office equipment
  • Ability to communicate effectively verbally and in writing
  • Ability to occasionally stand, walk, bend, reach or carry items
  • Ability to lift and/or move 10-25 pounds as needed
  • Visual ability to read computer screens and printed materials for extended periods
  • Ability to hear and participate in conversations and meetings
  • Willingness to work varying schedules including nights, weekends and holidays

Job Qualifications

  • High school diploma or equivalent
  • Previous experience in customer service or hospitality preferred
  • Basic computer skills and ability to learn Front Office systems
  • Strong communication and interpersonal skills
  • Ability to work varied schedules including nights, weekends and holidays
  • Ability to handle cash and perform accurate financial transactions
  • Team-oriented mindset and a positive attitude

Job Duties

  • Greet and communicate cordially with guests, promptly and professionally checking them in and out of the hotel
  • Assist in pre-registration and blocking of reservations when necessary
  • Promptly, accurately and efficiently know how and where to post all charges
  • Have complete working knowledge of Front Office computer or manual system, including all daily transactions and less common procedures
  • Accurately manage cash handling, including receiving cash, checks and credit card information from guests for payment of hotel charges and making change correctly
  • Review any reservations with special requests and work to block rooms accordingly
  • Have knowledge of hotel rates, discounts and how to handle each
  • Have working knowledge of reservations and procedures, including how to take same day reservations, follow cancellation procedures and relocation procedures when necessary
