The Front Desk Agent position is a vital role within the hotel, acting as the first point of contact for guests and embodying the spirit of the entire establishment. The agent will be responsible for answering guest inquiries regarding various hotel features including pool locations, hours of food and beverage operations, laundry services, and details about different room types and amenities. The role demands excellent interpersonal and communication skills as agents handle reservations, process payments, monitor cash drawers, and maintain comprehensive knowledge of the property management system (PMS) and cash register operations. They are also tasked with managing wake-up calls, messages, complaints, phone charge postings, and guest requests with professionalism and efficiency.
The Front Desk Agent will frequently interface with both arriving and departing guests, ensuring all group and VIP requests are reviewed and appropriately addressed. They are also crucial in maintaining safety standards by reporting any hazards or safety violations observed during their shifts. The work environment is moderately noisy, and agents must be prepared to stand and walk for extended periods while also performing tasks that require bending, stooping, or climbing. Job Duties
- Act as the ambassador of the hotel providing information to guests on all aspects of the hotel including pool location hours of F&B facility laundry location difference in room types and their offerings
- Review arriving reservations early in the shift checking for special requests and VIPs pre-assign rooms and pre-register groups
- Count cash drawer at beginning and end of shift prepare shift deposit accurately
- Maintain complete understanding of PMS and cash register operations
- Compare housekeepers report with folio log at beginning of PM shift or after housekeeping completion
- Enter wakeup calls record messages and receive mail for guests
- Record future reservations by phone or in person following standard procedures
- Handle complaints efficiently and courteously taking responsibility or notifying supervisor
- Post phone charges and any guest-incurred charges during shift
- File folios registration cards and reservation cards complete shift checklist
- Maintain fresh coffee in lobby at all times
- Answer telephone efficiently within three rings determine nature of call transfer to extension
- Report safety hazards or violations witnessed during duties
- Perform other duties as requested
