The role of Front Office Agent is a pivotal position within the hotel, acting as the first point of contact for guests and playing a crucial role in shaping their overall impression of the establishment. Responsibilities include greeting and communicating cordially with guests, ensuring an efficient and professional check-in and check-out process, and assisting with pre-registration and reservation blocking as needed. The Front Office Agent must possess comprehensive knowledge of the hotel's front office systems, both computer-based and manual, to handle daily transactions and less frequent procedures with accuracy and skill.

Cash handling skills are essential, as the agent will be responsible for processing payments through various methods, including cash, checks, and credit cards, while ensuring correct handling of change. Understanding hotel rates, discounts, reservation procedures, and cancellation and relocation protocols is also critical to the seamless operation of the front desk. Attention to detail and promptness in managing these tasks directly impact guest satisfaction and operational efficiency.

The ideal candidate will demonstrate a high work ethic and self-initiative, with a willingness to work flexible hours, including nights, weekends, and holidays, to meet the hotel's operational needs. Job Requirements

  • High school diploma or equivalent
  • Experience with front office or customer service roles preferred

Job Duties

  • Greet and communicate cordially with guests, promptly and professionally checking them in and out of the hotel
  • Assist in pre-registration and blocking of reservations when necessary
  • Promptly, accurately and efficiently know how and where to post all charges
  • Have complete working knowledge of Front Office computer or manual system, including all daily transactions and those which are not performed often
  • Accurately manage cash handling, including receiving cash, checks and credit card information from guests for payment of hotel charges and making change correctly
  • Review any reservations with special requests and work to block rooms accordingly
  • Have knowledge of hotel rates, discounts and how to handle each
  • Have working knowledge of reservations and procedures, including how to take same day reservations
  • Follow cancellation procedures and relocation procedures when necessary
