The Front Desk Agent at Hilton Garden Inn Albuquerque North / Rio Rancho plays a crucial role in ensuring guests receive an exceptional experience from check-in to check-out. This position requires a friendly and professional individual capable of managing multiple tasks such as answering and processing phone calls, handling special guest requests, and resolving complaints promptly in line with the hotel's policies and procedures. The agent is the first point of contact for guests, setting the tone for their stay by maintaining positive guest relations and delivering excellent customer service.

This role is pivotal for the smooth operation of the front office, where responsibilities include maintaining accurate knowledge of hotel features, services, prices, and scheduled activities. The agent will also manage financial transactions, secure cash banks, and verify guest payment methods. Other duties involve directing bell staff, handling overbooked situations or walk-in guests, and coordinating communications between guests and various hotel departments to meet individual needs.

The ideal candidate will have a high school diploma or GED, possess basic computer skills, and have at least one year of experience in a similar hotel front desk position. Job Requirements

Job Duties

  • Resolve guest complaints, ensuring guest satisfaction
  • anticipate guests needs, respond promptly and acknowledge all guests, however busy and whatever time of day
  • maintain positive guest relations at all times
  • maintain complete knowledge at all times of hotel features/services, hours of operation, room rates, special packages and promotions, daily house count and expected arrivals/departures, scheduled daily group activities
  • obtain assigned bank and ensure accuracy of contracted monies
  • keep bank secure at all times
  • answer department telephone within 3 rings, using correct greeting and telephone etiquette
  • process all guest check-ins
  • verify registration card information with the guest
  • obtain back-up information for guest credit/payment method and input into system
  • collect cash when designated
  • direct bell person to escort guest and transport their luggage to the room
  • handle overbooked or walked in guests
  • accept and record wake-up call requests
  • monitor, send and distribute guest faxes
  • communicate pertinent guest information to designated departments/personnel (i.e., special requests, amenity delivery)
  • resolve discrepancies on the room status report with Housekeeping
  • match the bucket check to in-house guest ledger report
  • report discrepancies to manager
  • process all check-outs
  • process adjustment vouchers, paid-outs, correction vouchers, miscellaneous charges
