About the Role: The Guest Service Representative role is crucial within the hotel operations, acting as the first point of contact for guests and playing an integral part in their overall experience. The role primarily involves greeting and registering guests, handling reservations and modifications, executing hotel operator and concierge duties, and managing guest accounts efficiently. The representative must maintain a high level of professionalism and confidentiality while performing multiple tasks such as balancing reports, controlling cash deposits, and handling credit card transactions securely. Additionally, they are expected to have excellent communication skills with the ability to resolve guest complaints in a courteous and effective manner.
The role demands an understanding of hotel policies related to cancellations, room types and rates, early arrivals, late check-outs, and special requests. The Guest Service Representative must use persuasive selling techniques to promote room sales and various marketing programs actively. Key control and lost-and-found items management are also key responsibilities. The representative must operate key office equipment, including phone systems, TDD equipment, and computers with proficiency in Microsoft Office applications.
Safety and security are top priorities, and the representative is responsible for implementing all company policies related to safety, alcohol, health, and security compliance. Training in these areas is mandatory. The role also entails working closely with other departments to ensure rooms are properly maintained and available according to operational needs.
Aside from operational responsibilities, the Guest Service Representative plays an essential role in fostering a positive and enjoyable workplace environment and assists in training new staff members.
