The role of Front Desk Clerk at Berwyn Place East is a critical frontline position responsible for maintaining the security and operational integrity of the building while delivering courteous, professional service to residents, visitors, and staff. This contingent, on-call position involves working all shifts, requiring flexibility and reliability. The Front Desk Clerk plays a pivotal role in managing the lobby area by monitoring lobby traffic, ensuring all guests properly sign in and out, and confirming the appropriate identification and adherence to building policies. This vigilance safeguards the safety of all building occupants.

In addition to security-related duties, the Front Desk Clerk accepts and accurately accounts for rental payments, sorts and distributes mail promptly, and submits maintenance requests to the appropriate departments. Routine inspections of common areas ensure cleanliness and present a professional setting, reflecting the organization’s high standards. The position mandates a commitment to following established policies and procedures, including being alert, documenting incidents precisely, and reporting emergencies immediately to maintenance and management. Job Requirements

  • High School diploma or GED required
  • minimum of one year of recent work experience
  • ability to work an eight-hour shift with access to kitchen and restroom facilities

Job Duties

  • Monitor lobby traffic and ensure all guests sign in/out, provide proper identification, and follow building policies
  • maintain alertness at all times and accurately document incidents and activities during each shift
  • accept and properly account for rental payments
  • sort and distribute mail in a timely manner
  • conduct routine inspections of common areas and maintain a clean, professional lobby appearance
  • submit and track maintenance work orders
  • report emergencies immediately to Maintenance
  • report hazardous conditions or emergencies to management and document accordingly
  • attend required meetings and court appearances as scheduled
  • ensure desk coverage by coordinating shift coverage for absences
  • remain on duty until coverage arrives
  • notify the Assistant Manager at least four hours in advance if unable to report to work
  • travel between and provide coverage at multiple buildings as needed
  • adhere to scheduling rules, including no more than two consecutive shifts within a 24-hour period
  • communicate effectively and respectfully with residents, visitors, and staff
  • maintain professional boundaries at all times
  • submit time-off requests at least two weeks in advance
  • arrive on time with no more than a five-minute grace period
  • answer phones within 1-3 rings using a professional greeting
  • accurately record phone messages with required details
  • buzz in residents, visitors, and staff within 1-3 seconds
  • use courteous language in all interactions
