The Freelance Event Specialist role based in Plano, TX, is a hands-on, dynamic position that requires an experienced event professional to manage the logistics of on-site social impact team experiences. This role is critical for executing high-quality events that align with Visit.org's mission and uphold the company’s standards for customer experience. The candidate must bring a blend of corporate event knowledge and entrepreneurial spirit to navigate the fast-paced, often unpredictable environment of live events in a startup culture.
In this role, candidates will act as the on-the-ground leader for in-person events, ensuring seamless coordination among multiple stakeholders including corporate partners, nonprofit hosts, and Visit.org’s own event coordinators and staff. Responsibilities include attending virtual planning sessions, overseeing event setup and breakdown, managing check-in processes, and problem-solving in real-time to optimize event quality and guest experience. Strong customer service skills and the ability to maintain composure in high-pressure, fast-moving environments are essential.
Candidates must be flexible, adept at multitasking, and willing to work evenings and weekends as event schedules demand. The role demands physical stamina to handle tasks like lifting and moving supplies and standing for extended periods, as well as interpersonal agility to engage confidently with large groups and diverse teams. Job Duties
- Coordinate event logistics and act as the on-site event coordinator
- Participate in virtual planning meetings with corporate, nonprofit and Visit.org teams
- Own event setup, alignment with onsite teams, teardown and site cleanup
- Represent Visit.org and solve problems at events
- Align roles and responsibilities with event stakeholders
- Manage event check-in and provide a warm welcome to guests
- Troubleshoot event issues including missing supplies or technology challenges
- Escalate concerns to the Events Team as needed
- Send updates, photos, and videos to the Events Team during event
- Assist with post-event breakdown, cleaning, repackaging, and shipping supplies
