The role of Freelance Event Specialist in Philadelphia, PA, offers a unique opportunity to be at the forefront of delivering engaging, socially impactful events on behalf of Visit.org. This contract-based position requires an individual who possesses experience in corporate event planning and who can thrive in a dynamic, startup environment. You will play a crucial role in managing the logistics of in-person events ranging from large-scale corporate gatherings to smaller, executive-level team-building activities. The ideal candidate will bring an entrepreneurial spirit, passion for social impact, and the adaptability needed to operate effectively in a fast-paced setting.
As a Freelance Event Specialist, you will be the on-the-ground leader responsible for the flawless execution of events that inspire and engage participants while promoting local nonprofit causes. You will collaborate closely with internal teams and external partners, including nonprofit organizations, corporate clients, event hosts, venue staff, and other personnel. Your responsibilities will span from participating in virtual planning meetings, overseeing event setup and breakdown, managing onsite logistics, to problem-solving unexpected challenges. This role demands excellent communication skills, resourcefulness, and the ability to maintain a positive and professional demeanor even under pressure.
This position is located in Philadelphia, PA, and requires the candidate to be based locally to handle all event-related activities directly. Flexibility in scheduling is paramount since the work is on a per-event contract basis, and events may occur during nights or weekends. Physically, the role requires the ability to stand for long periods, lift and carry up to 30 pounds, and perform various tasks essential for event preparation and breakdown. Job Duties
- join virtual planning meetings ahead of each event with all parties including corporate partner, nonprofit partner, Visit.org event host, and Visit.org event coordinators
- take ownership and responsibility of in-person events by being on-site to set up, align with the on-site team, tear down, clean site areas, problem-solve, and ensure high-quality customer experience
- represent Visit.org as leader and problem solver at events
- align roles and responsibilities with onsite team including event host, nonprofit organization, venue, additional staff, and corporate partner
- manage check-in process for in-person events providing a warm and friendly welcome to guests
- problem-solve issues such as missing supplies, late staff, or technology challenges
- escalate issues to the Events Team when necessary
- send consistent updates, photos, and videos to Events Team throughout event
- breakdown after the event ends, helping to clean the site and repackage and ship all materials back to the distribution center
- pack supplies and add shipping labels which may include loading boxes
