We are currently seeking a dedicated and experienced Freelance Event Specialist to join our team based in Fort Collins, CO. This role is contract-based and focused on managing the logistics of our upcoming in-person events, which take place in various cities. As the on-site Event Coordinator, you will be the face of Visit.org during these events, overseeing operations, aligning with multiple stakeholders including corporate partners, nonprofit partners, venue staff, and our internal event teams to deliver smooth, engaging, and impactful experiences. Your role will be integral in ensuring that all events run flawlessly—from setup and check-in to troubleshooting any issues that arise, and efficient teardown and materials management.
The ideal candidate thrives in a fast-paced startup environment and embodies an entrepreneurial spirit. You bring corporate event experience, a passion for social impact, and the energy needed to lead on event day. You will contribute to fun, team-building, and socially conscious experiences that leave a positive imprint on participants and communities. You will attend virtual planning meetings ahead of each event and own the day-of execution, displaying excellent problem-solving skills and grace under pressure. Your strong communication, interpersonal, and organizational abilities will enable you to manage event check-ins, coordinate roles with onsite teams, and maintain a high level of customer satisfaction throughout the process.
This role requires flexibility in scheduling as events occur on a per-contract basis and may include evenings and weekends. You must be willing and able to travel locally to various event locations as needed. Physical demands include the ability to lift and carry up to 30 lbs and stand for extended periods, reflecting the hands-on nature of this position. Job Duties
- Be the onsite event coordinator managing setup, alignment with team members, teardown, and site cleanup
- Join virtual planning meetings with corporate and nonprofit partners, Visit.org hosts, and event coordinators
- Manage check-in process ensuring a warm and welcoming guest experience
- Solve problems during events including missing supplies, late staff, and technology issues
- Represent Visit.org as a leader and problem solver at events
- Communicate consistent updates, photos, and videos to the Events Team throughout each event
- Pack and ship event materials post-event including labeling and loading
