Based in Springfield, MA, Visit.org is currently seeking a Freelance Event Specialist who is experienced, responsible, and passionate about their mission to join their innovative team. This role is essential for managing the logistics of upcoming in-person team-building and social impact events. The Freelance Event Specialist will work closely throughout the event lifecycle — from preparation and planning to execution and post-event breakdown — bringing energy, entrepreneurial spirit, and exceptional organizational skills to the role.

This is a contract role based in Springfield, MA, where the successful candidate will thrive in a startup environment characterized by ambition, agility, and purposeful work. The role requires availability on a per-event basis and offers a competitive hourly rate. As the onsite Event Specialist, you will act as the primary onsite representative of Visit.org, working hand-in-hand with corporate partners, nonprofit organizations, venue staff, and other team members to ensure smooth event operations and a superior customer experience.

The role requires a highly adaptable individual comfortable with managing both large-scale corporate events and smaller, more intimate executive gatherings. Your responsibilities include setting up event spaces, managing check-ins, coordinating onsite teams, troubleshooting logistical challenges, and ensuring the timely teardown and shipment of materials after the event. The ability to think quickly, problem-solve under pressure, and maintain exceptional customer service standards is critical. The role demands physical stamina for standing long periods and handling materials up to 30 pounds.

Job Duties

  • Coordinate all event logistics including setup, staffing, and teardown
  • Join virtual planning meetings with corporate and nonprofit partners
  • Take ownership and responsibility of onsite event execution
  • Serve as Visit.org representative and problem solver during events
  • Manage the check-in process and provide a warm welcome to guests
  • Troubleshoot issues such as missing supplies and technology problems
  • Communicate ongoing updates, photos, and videos to the Events Team
  • Break down and clean event site
  • Pack and label supplies for shipment after events
