As a Freelance Event Specialist at Visit.org, you will play a crucial role in managing the logistics and execution of in-person corporate events that combine team-building, social impact, and immersive experiences. This contract role is centered in Arlington, VA, and requires a highly organized, responsible, and proactive individual who thrives in a dynamic startup environment. In this role, you will be the on-the-ground representative and problem solver during events, ensuring that every facet of the day-of experience is executed flawlessly. Responsibilities include participating in virtual planning meetings before each event to align with corporate and nonprofit partners and internal teams. On event days, you will coordinate setup, manage the onsite team, oversee guest check-in, troubleshoot unexpected challenges, and facilitate high-level interactions with diverse stakeholders. Your adeptness in communication, quick thinking, and flexibility will allow you to elevate customer experience, while your attention to detail ensures all materials are properly packed, labeled, and shipped post-event.

Job Requirements

Job Qualifications

  • Experience managing complex large-scale and executive-level events
  • Ability to execute events with high quality and continuously improve customer experience
  • Strong communication skills including fluency in English
  • Experience in group facilitation and managing group dynamics

  • Organized, detail-oriented self-starter
  • Proven ability to work flexible hours including nights and weekends

  • Able to lift, carry, and handle physical aspects of event setup

  • Familiarity with startup culture and entrepreneurial environments

Job Duties

  • Join virtual planning meetings with corporate partners, nonprofit partners, and internal teams
  • Take ownership of in-person event logistics including setup, team alignment, teardown, and site cleanup
  • Serve as the Visit.org representative and problem solver during events
  • Manage check-in process while providing a welcoming experience to guests
  • Collaborate and align roles with onsite staff, event hosts, nonprofits, and corporate partners
  • Troubleshoot issues such as missing supplies, late staff, or technology challenges
  • Provide ongoing updates, photos, and videos to the Events Team
  • Post-event breakdown including cleaning, repackaging, and shipping materials back to the distribution center
  • Pack supplies with proper labeling and assist with loading boxes
