Job Description
Our company is a dynamic and fast-growing production firm focused on delivering exceptional event experiences, specializing in community events, brand activations, showcases, family programming, and various special events tailored to meet the needs of our primary client. We pride ourselves on creativity, innovation, and meticulous attention to detail, ensuring that every event we manage is an immersive and memorable experience for attendees. Though we are a relatively small team, our client demands are high-volume and diverse, and our company is expanding rapidly to meet these needs. As part of this growth, we are seeking to add a talented Freelance Event Planner & Lead Designer to our team.
This position is a freelance and contract role with a 12-month commitment preferred, offering flexible remote work with some onsite attendance required primarily around Austin and Central Texas, with occasional travel for select events. Compensation ranges from $40 to $50 per hour for 30 to 40 hours a week, with additional onsite event day rates provided. Having your own car and a valid driver’s license is essential due to the need for site visits and event day logistics.
The role of Freelance Event Planner & Lead Designer is multifaceted, combining creative leadership with hands-on event planning and operational execution. Reporting collaboratively with the Executive Producer and Producer, the successful candidate will help transform event concepts into fully realized productions, from initial graphic and environmental designs through logistical execution on the ground. A strong emphasis is placed on design-forward thinking, where spatial arrangements, branding, guest flow, and visual storytelling are paramount to the guest experience. We are looking for someone who approaches event aesthetics much like an interior designer approaches a space—focusing on harmony, detail, and atmosphere.
Key responsibilities include creating mood boards, producing signage and print visuals, managing AV graphical content, and leading environmental design efforts with a keen eye toward furniture, lighting, décor, and stylistic coherence. The ideal candidate will communicate seamlessly with fabrication and production teams to ensure that designs are realized effectively while maintaining a keen awareness of guest experience and operational flow. Beyond design, this position involves vendor coordination, onsite support including load-ins and installs, and stepping in as Lead Producer onsite when required. Strong organizational skills and adaptability are vital for managing live event challenges, timelines, and vendors.
Experience with experiential events, festivals, brand activations, or family and educational programming is highly desirable. We seek an individual with proficiency in graphic design and spatial visualization using tools such as Canva, Adobe Creative Suite, Figma, SketchUp, or similar rendering software. Familiarity with project management tools and excellent onsite leadership and communication capabilities are also essential. Bonus skills include experience in Austin’s events or hospitality sector, knowledge of scenic and fabrication coordination, social content design, and advanced 3D rendering.
