Job Description

Creative Circle, LLC is a leading boutique experiential agency renowned for delivering unique, immersive event experiences that engage audiences and foster meaningful connections. Specializing in experiential marketing, event planning, and coordination, Creative Circle collaborates with a diverse range of clients to execute seamless and impactful events. The agency thrives on creativity, meticulous planning, and unwavering attention to detail, ensuring that every event not only meets but exceeds client expectations. Their team is composed of dedicated professionals who bring expertise in project management, vendor relations, and event logistics to the table, creating cohesive and memorable events that resonate with target audiences.

The Freelance Event Coordinator position at Creative Circle offers a dynamic opportunity for an experienced professional to join their team on a Seattle-based project. This role involves working on multiple dates—May 11, May 18, June 1, and June 22—with a preference for a single coordinator to oversee all events. The position operates from 7 am to 5:45 pm on each event day, requiring on-site presence and hands-on management throughout the event lifecycle. The coordinator will assist with event setup, manage vendor coordination, track attendee lists, and communicate directly with clients to understand their goals, budgets, and expectations.

This role demands a seasoned event professional with ideally over three years of experience in event coordination, particularly in large-scale corporate events. Strong project management skills and the ability to liaise efficiently with vendors and partners like catering, audiovisual, and production teams are essential. The coordinator will be responsible for overseeing the entire event process including setup, execution, and breakdown, ensuring each event runs smoothly and addressing any issues in real time. The position requires excellent attention to detail and strong communication skills to maintain close collaboration with internal teams and external stakeholders.

Working at Creative Circle means being part of a creative and supportive environment where teamwork and innovation are highly valued. Given access to sensitive client or customer information, confidentiality and professionalism are paramount. The agency offers a comprehensive benefits package for freelance employees, including eligibility for minimum essential coverage medical plans, dental/vision/term life insurance, discount prescription programs, critical illness and accident coverage, tele-behavioral health services, and a 401(k) plan. Additionally, sick leave is provided in accordance with state or city laws, along with eligibility for paid holidays and employee stock purchase plans based on tenure.

This role is ideal for a dedicated event coordinator looking to apply their skills in a fast-paced and client-focused agency setting, contributing to the delivery of exceptional experiential events while enjoying the flexibility and benefits that come with freelance employment. Candidates must be authorized to work in the United States without employer sponsorship and located within the U.S. to perform this on-site role. Creative Circle is committed to equal opportunity, supporting diversity, inclusion, and fair hiring practices across all levels of employment.
