The Food and Beverage Project Manager plays a critical role within this company, responsible for planning, coordinating, and executing all food and beverage event projects from conception to completion. Reporting directly to the Food and Beverage Director, this position focuses heavily on staffing, logistics, and pre-event planning to ensure each event runs smoothly, on schedule, and within budget. The F&B Project Manager’s responsibilities include translating program goals into detailed action plans that apply to bars, concessions, VIP services, and sponsor areas, paying special attention to layouts, staffing models, and service workflows.
The role demands close collaboration cross-functionally with teams such as operations, vendors, production, finance, and sponsors to align all aspects of event execution including site plans, infrastructure, menus, and service standards. The manager is charged with building comprehensive event timelines and checklists, tracking dependencies like deliveries, staffing, permits, and build and strike processes, while proactively identifying and mitigating risks. Documentation accuracy is paramount; the manager drafts and maintains production schedules, staffing plans, inventory lists, and signage requirements, ensuring clarity and version control.
Budget management forms a key part of the role, tracking quotes, purchase orders, and expenses related to staffing, rentals, products, and services, while reconciling vendor invoices and labor costs to agreed targets. Vendor and supplier coordination is crucial to guarantee the timely and correct on-site delivery, setup, and strike activities. The manager partners with the Director to determine balanced staffing counts and roles, adapting plans based on sales projections and event changes, and manages all staffing logistics including scheduling, check-ins, credentials, and team briefings.
Compliance with licensing, health, and safety requirements is strictly enforced through incorporation into event layouts, staffing, and standard operating procedures. Job Requirements
- Bachelor's degree in hospitality, event management, business or related field preferred
- Minimum 3 years of experience in event operations or food and beverage management
- Proven ability to manage multiple projects and timelines simultaneously
- Experience with budget management and vendor coordination
- Proficient in project management software and Microsoft Excel
- Excellent written and verbal communication skills
- Ability to work long hours on site in outdoor settings
- Strong leadership and team coordination skills
Job Qualifications
- 3+ years in event operations, festival management, catering/events, or large format food and beverage
- Strong project management and organizational skills
- Demonstrated experience building staffing plans and schedules

Job Duties
- Own the end to end project plan for assigned events including timelines, deliverables, run of show, and post event wrap
- Translate program goals from the Food & Beverage Director into detailed execution plans for bars, concessions, VIP, and sponsors including layouts, staffing models, and service flows
- Coordinate cross functionally with operations, vendors, production, finance, and sponsors to align on site plans, infrastructure needs, menus, staffing, and service standards
- Build and manage event timelines and checklists, track dependencies and flag risks early with proposed solutions
- Draft, maintain, and distribute all event documentation in clear, version controlled formats
- Support budget management by tracking quotes, POs, and actuals for staffing, rentals, product, and services, and reconcile vendor invoices and labor against agreed targets
- Coordinate vendor and supplier needs and ensure on site delivery, setup, and strike are executed according to plan and timeline
- Partner with the Director to determine staffing counts, role mixes, shift times, and deployment, adjusting staffing plans based on sales projections and event changes
- Oversee staffing logistics including schedules, call times, check-in/check-out procedures, credentials, and briefings
- Ensure all event plans comply with licensing, health, and safety requirements
- Lead on site execution for assigned zones managing timelines, staff, and vendors, troubleshooting operational issues and maintaining service standards
- Capture and report post event data to support continuous improvement, staffing models, and future forecasting
