The role of Food and Beverage Coordinator at HHM Hotels is a critical administrative position that supports the Director of Food and Beverage, Executive Chef, General Manager, and Food and Beverage Managers. This position involves managing the daily operations of the food and beverage department, including restaurant, bar, and banquet events. These reports support the leadership team’s decision-making processes. The coordinator maintains the department’s filing systems, orders supplies, schedules associates in accordance with events, and keeps reservation databases current by managing the automated reservation line and ensuring accurate guest history records.
Collaboration with the marketing manager is vital to keep public information and menus updated and coordinated. Administrative support extends to assisting with cleaning reports, health department inspections, liquor licenses, and kitchen safety compliance with follow-up on discrepancies. Active participation in food and beverage meetings, taking minutes, and managing associate timesheets and payroll activities such as tip tracking and authorization forms is required to ensure timely and accurate staff compensation.
The role demands professionalism in guest and team interactions, the ability to handle confidential documents, and coordination with People Support regarding certifications, training, and employee relations. The Food and Beverage Coordinator also aids in preparing accurate checks and transactions for restaurant, banquet, and special events and provides operational assistance during peak seasons and holidays. Compliance with HHM Hotels’ EarthView sustainability program and safe work practices is mandatory.
This full-time position requires proficiency in Microsoft Office and Google programs and a minimum of two years of relevant experience, with an associate’s degree preferred. The work environment involves extended hours during weekends and holidays, as well as physical activities such as sitting for long periods and light lifting. Job Requirements
- Associate’s degree preferred
- Minimum of two years’ experience required
- Proficient with all Microsoft Offices and Google programs
- Ability to sit for extended periods
- Ability to lift up to 10 pounds
- Ability to hear, see, speak, bend, reach, and use hands for keyboard operation
- Willingness to work extended hours including weekends and holidays
- Strong attention to detail
- Excellent communication skills

Job Qualifications
- Associate’s degree preferred
- Minimum of two years’ experience in food and beverage or hospitality administrative support
- Proficient with Microsoft Office and Google programs

Job Duties
- Manage correspondence, prepare and respond to emails, complete forms and write letters and memorandums
- Generate and compile reports weekly, bi-weekly, monthly and for year-end and provide necessary reports to directors and executives
- Perform general office duties such as ordering supplies, filing, scanning, updating bulletin boards, maintaining filing systems and scheduling
- Contact and respond to all food and beverage vendors, maintain reservation systems and assist in keeping guest history accurate
- Assist in distribution of food and beverage information and coordinate with marketing to ensure public information and menus are up to date
- Schedule associates in accordance with events and assist in menu marketing pieces creation
- Assist with cleaning reports, health inspections, liquor license and kitchen safety inspection maintenance reports and follow up on discrepancies
- Attend food and beverage meetings and take minutes
- Review associate timesheets for accuracy, edit timesheets, assist with payroll, track tips and distribute timesheet authorization forms
- Prepare or correct restaurant, banquet or special event checks and transactions
- Assist restaurant and banquet operations during holidays and peak seasons
- Review BEO’s for accuracy and communicate discrepancies
- Track associate performance and assist with documenting progressive discipline
- Exhibit professional interaction with guests, co-workers and management
- Prepare confidential and sensitive documents
- Coordinate with People Support on certifications, interview schedules and mandatory training
- Operate office equipment
- Relay directives and messages to department leaders
