The Food and Beverage Administrative position at Terranea Resort plays a crucial role in supporting the Food and Beverage Director by managing all administrative tasks necessary for smooth department operations. Job Requirements
- Minimum of 2 years experience in an administrative role
- Basic knowledge of applications such as Opentable, FairHarbor, Single Platform, Birchstreet
- Proficiency in all Microsoft applications
- Previous guest relations training preferred
- Previous experience in the hospitality industry, preferably in a 4 or 5 star hotel
Job Qualifications
- Must be able to speak, read, and write English
- Good communication skills, both verbal and written
- Basic computational ability
- Basic computer skills
- Organizational skills including scheduling meetings and effective communication
- Ability to uphold resort standards with fairness and impartiality
- Ability to prepare and analyze data and figures using computer-generated transcriptions
- Knowledge of hotel Food and Beverage operations
- Knowledge of food and alcoholic beverages
Job Duties
- Fulfill administrative duties assigned by the Food and Beverage Director
- Write announcements for promotions and new team members as requested
- Create announcements for Food and Beverage offerings for holidays and special events
- Schedule meetings and appointments for the Food and Beverage Director
- Manage Birchstreet ordering for Food and Beverage office supplies
- Handle holiday invoice processing as requested
- Complete and file Food and Beverage Manager expense reports
- Handle special events approved by the Director of Food and Beverage, including client meetings, menu coordination, event logistics, billing reconciliation, and entertainment scheduling
- Take notes during Food and Beverage planning meetings and walkthroughs
- Coordinate music and entertainment scheduling and billing from talent agents
- Assist with creating PowerPoints, spreadsheets, and other documents as requested by the Food and Beverage Director
- Lead contact for OpenTable administrative duties ensuring online menus are updated and accurate
- Lead contact for FairHarbor administrative duties ensuring offer details are up to date
