The Floating Customer Service and Benefits Specialist at Helen Ross McNabb Center is a crucial role within the organization’s client services and administrative operations. This position is designated as floating, meaning it provides coverage for the Hamilton Adult Clinic’s client benefits staff during their absence due to vacation, sickness, or family leave. The specialist also travels to the McMinn Clinic on specified days to coordinate the transfer of Hamilton County mail and other documents among the Center’s various locations. The role requires the use of a personal vehicle to perform interoffice deliveries and errands, with mileage reimbursed accordingly.
This specialist serves as the front-line contact for clients, visitors, and guests, greeting them and directing them to the appropriate locations within the clinic. The individual assists clients in completing applications for services, verifying eligibility, and ensuring insurance information is up-to-date. They are responsible for collecting co-payments or deductibles and maintaining accurate records of these transactions. The specialist manages front desk operations, including answering phones, screening calls, scheduling appointments, and handling mail and courier deliveries.
Administrative duties form a significant part of the role, such as data entry of admissions and client demographics, coordinating with Health Information Management staff for compliance and training, and maintaining orderly records and files. The Floating Customer Service and Benefits Specialist must provide excellent customer service, support clinical and administrative teams, and maintain strict adherence to policies and procedures. Strong organizational skills, multitasking capability, and an ability to work independently or within a team are essential for success in this position.
The position operates in an outpatient clinical setting and offers a starting wage of approximately $17.43 per hour, commensurate with the candidate's experience and qualifications. The workweek runs Monday through Friday from 8 AM to 5 PM, with a one-hour break. Flexibility may be required occasionally, with advance notice from supervisors. The role demands physical stamina as well, including the ability to lift up to 50 pounds and push or pull up to 150 pounds, along with the need for standard hearing and eyesight capabilities. The Center provides ongoing training, including annual Verbal Handle with Care certification, to ensure staff maintain best practices in client interactions and safety.

Job Requirements
- High school diploma or equivalent
- Prior administrative or clerical experience preferred
- Experience working with computers and technology
- Highly organized and able to multitask while working in fast paced environment while prioritizing tasks
- Excellent customer service skills
- Excellent time management and communication skills both written and verbal
- Knowledge of client needs and clinical workflow according to client benefits position
- Maintaining most recent insurance eligibility information

Job Duties
- Coordinates arranged meet ups with McNabb Mail Currier to hand off Hamilton County mail from all locations in Hamilton County
- Greets clients, visitors, and guests
- determines the purpose of each person’s visit and directs or escorts to appropriate location
- Assists client in completing NHSC application
- Monitors front desk and complies with all security procedures
- Answers, screens, and directs phone calls to staff
- takes messages and schedules/cancels appointments accordingly
- Receives mail, documents, packages, and courier deliveries and distributes items
- Performs administrative and clerical support tasks
- Performs basic filing and record keeping
- Performs other duties as needed
