The Front Desk Attendant will play a crucial role in representing the club’s values through exceptional reception and administrative support services. This role focuses heavily on the front entrance and front desk operations, ensuring that every member and guest interaction begins with a warm welcome and efficient handling of their needs. The attendant is responsible for answering and transferring inbound calls, directing patrons to appropriate club areas, and managing special member requests that exceed ordinary expectations. This position demands strong organizational skills and the ability to navigate multiple tasks in a fast-paced environment.

Additionally, the Front Desk Attendant will oversee scheduling and staffing coverage for the front desk area to maintain seamless reception operations. They will manage the booking and recording of all reservations for member events and dining, ensuring communication with the Food & Beverage team to fulfill requests promptly. The role also involves maintaining and updating the club’s website and other communication platforms including email blasts and promotional flyers. Responsibilities include coordinating and posting special event information to various boards and media within the club, maintaining the appearance of the front desk and coat room, and supporting other departments as needed.

The successful candidate will embody professionalism and a polished appearance, demonstrating strong interpersonal skills and a commitment to customer service excellence. This role requires the ability to enforce club policies firmly yet diplomatically, maintain quality and safety standards, and work collaboratively within a team-oriented atmosphere. Strong computer skills in programs such as Outlook, Excel, Word, PowerPoint, website management, and Jonas software are essential for executing daily tasks efficiently.

Job Duties

  • Scheduling and staffing the coverage of the front desk reception area
  • Greet all members and guests with a friendly, cheerful and helpful attitude
  • Provide excellent customer service
  • Accurately plan, schedule and record all reservations required for member events and dining
  • Post and communicate all club information regarding dining and special events on various platforms
  • Maintain current presentations for lobby display including creating promotional flyers
  • Encourage member participation in club events and dining by having knowledge of upcoming activities
  • Support Member Services Coordinator and other departments as requested
  • Perform various administrative duties as needed
  • Maintain overall appearance of front desk and coat room
  • Distribute incoming mail
  • Operate office equipment and maintain inventory of supplies
  • Contact repair service for office equipment malfunctions
  • Respond promptly to member/guest needs and solicit feedback
  • Practice diplomacy and positive communication
  • Contribute to a positive team spirit
  • Transfer calls according to procedures
  • Treat members, guests, and employees with respect and integrity
  • Perform other duties as assigned
