The Firm Events Coordinator position at Polsinelli, based in Kansas City, is a full-time hybrid role designed for an engaging and detail-oriented professional who thrives in a fast-paced, professional environment. This role is integral to the firm's internal and external event strategy and execution, playing a critical part in supporting marketing initiatives and business development efforts. The coordinator works closely with the Marketing Events Manager and partners with firm leadership and attorneys to plan and execute events that align with strategic goals. Responsibilities include coordinating all logistical aspects of events such as site and menu selection, budgeting, invitation management, onsite event management, and tracking event attendance in the firm’s CRM system.

This position also involves strategic collaboration, such as developing business development game plans pre- and post-events, coordinating continuing legal education (CLE) events, and supporting multiple marketing teams across regional and departmental levels. The role requires a blend of organizational skills, creative problem-solving, and the ability to manage multiple simultaneous projects with a sense of urgency and professionalism. Polsinelli values candidates who are self-starters, demonstrate best-in-class client service, and can maintain composure under pressure while adapting to changing priorities and directions.

Ideal candidates will have a minimum of three years of corporate event planning experience, preferably with exposure to legal event marketing, although this is not mandatory. Familiarity with digital event platforms such as InterAction, Vuture, Zoom, On24, and CVent is highly beneficial. Candidates should be proficient in Microsoft Office applications including Word, PowerPoint, Excel, and Outlook, as well as database management. This position may require up to 20 percent travel, primarily on weekdays, and may involve extended hours when events require it.

Job Requirements

  • bachelor's degree or equivalent experience
  • minimum of 3 years of corporate event planning experience
  • strong organizational and multitasking skills

Job Duties

  • work closely with firm marketing events manager to structure, coordinate and execute internal and external events in a manner that aligns to the firm's overall strategic goals
  • communicate with firm leadership and attorneys to strategize pre- and post-event business development game plan
  • develop strategic post-event debrief for attorney review and planning for future years
  • work with department and regional marketing teams to communicate opportunities identified for client development
  • support regional marketing managers in firm-wide, local, and sponsorship events
  • support department marketing managers in firm-wide, local, and sponsorship events
  • coordinate pre- and post-event activities including site selection, menu selection, logistics, work with attorneys to craft invitation content, create refine and distribute invitations, budget tracking and invoicing, facilitate onsite event management, input and track event attendance in firm crm, collect event rsvps and send attorney updates as necessary, create name badges as needed, collect and assemble event handout materials
  • coordinate continuing legal education (cle) events and materials with firm's cle administrative team
  • coordinate virtual events, ad requests, process improvements as assigned
