The role of Finance & Events Coordinator at Thompson's Point is a unique and dynamic position ideally suited for candidates who enjoy a blend of financial management and event operations within a creative, fast-paced setting. This full-time on-site role reports into the Finance and Events Department and plays an essential part in maintaining the financial integrity and smooth operation of events held at the venue. With a salary range of $22.85 to $23.91 per hour, the position combines responsibilities such as managing accounts payable and receivable with event administration tasks that involve coordination of vendors, licensing, and ticketing support.

Specifically, the Finance & Events Coordinator is instrumental in processing incoming invoices, managing billing through QuickBooks, and ensuring accurate tracking and reconciliation of payments. These finance tasks are complemented by vital event operational duties, including scheduling security and police attendance, managing vendor applications, and tracking licenses and contracts for a wide range of events from concerts to community markets. The role also demands strong communication skills for coordinating between sales, operations teams, event clients, and vendors, as well as attention to detail in maintaining office supplies and supporting special projects.

Ideal candidates will bring 1-3 years of relevant experience in accounts payable/receivable or event administration, proficiency with QuickBooks and Microsoft Office Suite, and demonstrated abilities in organizational and multitasking skills. Job Requirements

Job Duties

  • Process incoming mail, checks, and invoices
  • Enter and manage accounts payable in QuickBooks, including recurring and one-time invoices
  • Coordinate with internal teams to verify invoice accuracy and coding
  • Generate and track accounts receivable invoices for events, rentals, and services
  • Reconcile payments and update internal systems such as Perfect Venue
  • Confirm electronic payments with sales and operations teams
  • Schedule security and police for events in collaboration with event staff
  • Track and renew licenses including liquor, health, and safety
  • Process vendor applications and confirmations for Self-Sponsored Events
  • Support Eventbrite ticketing setup and reporting as needed
  • Make bank runs for cash deposits as needed
  • Handle contracting and tracking of payments for food trucks, musicians, and other vendors for Thompson's Point Presents self-sponsored events
  • Handle outreach to event clients to follow up on overdue payments as needed
  • Maintain office supply inventory and manage reordering
  • Assist with general administrative tasks and special projects
  • Perform other related duties as the position evolves
