EmBe is seeking a Family Experience Specialist to join their team on a part-time, hourly basis. This role serves as the vital first point of contact for staff, clients, and visitors entering the EmBe facility. The Family Experience Specialist is responsible for creating a welcoming, professional atmosphere that reflects the organization’s brand, mission, vision, and values at all times. This position places a strong emphasis on excellent customer service and hospitality, ensuring that every interaction enhances the overall family and visitor experience.
The successful candidate will monitor and greet individuals warmly as they arrive and depart, manage the front desk’s communications, and coordinate various administrative tasks that support the smooth operation of EmBe’s programs and services. Responsibilities include handling phone inquiries, coordinating scheduling and logistics, maintaining databases related to childcare, processing enrollments, and assisting with tracking staff training. The role also involves supporting new employee onboarding and providing administrative assistance such as copying, scanning, and preparing informational packets.
A key aspect of this position is the ability to maintain confidentiality and privacy with all incoming and outgoing information, which is critical given the sensitive nature of the families and children served by EmBe. The Family Experience Specialist must possess strong communication skills, both oral and written, exhibit professionalism in appearance and attitude, and be able to manage multiple projects simultaneously with thorough follow-through. Experience working with Microsoft Office suite is essential, particularly Word, Excel, Access, and Outlook.

Job Duties
- Ensure EmBe brand, mission, vision, and values are reflected in all interactions
- Monitor and warmly greet all persons entering or leaving the building
- Maintain exemplary family and visitor experiences
- Answer and route incoming telephone calls in a friendly, professional manner
- Coordinate information, communication, supplies, and administrative procedures for the EmBe front desk
- Assist with tracking of staff trainings
- Handle daily cash receipt procedures, record keeping, childcare database maintenance, and general front-of-house communications
- Receive, sort, and distribute daily mail and deliveries
- Set up new employees and childcare parents in the childcare database
- Set up parent and visitor tours for the Manager
- Manage Outlook calendar for group spaces such as conference rooms and gym
- Assist employees with projects such as copying, scanning, faxing, collating, and laminating
- Prepare packets for new hires, family tour packets, and childcare room welcome packets
- Create and maintain all front desk forms and supplies
- Receive customer and client comments and direct them to the appropriate staff member
- File paperwork in childcare files and follow up on missing documentation
- Record time in/out sheets in the childcare database
- Process enrollments for childcare and school age care and keep immunization records up to date
- Serve as a backup to childcare for ratio and assist with children occasionally
- Keep front lobby organized and tidy
- Route deliveries as necessary and keep area free of clutter
- Perform other duties and responsibilities as assigned
