The Administrative Assistant at Thomas MacLaren School plays a crucial role in supporting the school's leadership and community. Reporting to the Front Desk Lead, this non-exempt, hourly position offers a pay range of $16.00 to $17.00 per hour and includes comprehensive benefits for those contracted for 30 hours or more weekly. The benefits cover 100% of base insurance premiums, including health, dental, vision, long-term and short-term disability, accidental death and dismemberment, and life insurance.
In this role, the Administrative Assistant is responsible for a variety of important administrative tasks that ensure smooth daily operations and an inviting atmosphere for visitors, students, and staff alike. Key duties include managing daily attendance records, updating student attendance in PowerSchool, communicating with parents and staff about attendance issues, verifying absences, and ensuring the accuracy of attendance data. The assistant also supports the front desk by greeting visitors with professionalism and friendliness, handling multiple tasks efficiently, and providing administrative support to faculty and staff. Additional responsibilities include assisting with classroom supply management and setup, maintaining communication channels between families and staff, and supporting inventory management and volunteer coordination.
This position requires someone who is resourceful, detail-oriented, and eager to contribute positively to the MacLaren community. The assistant may also act as delegated health staff when necessary and is expected to help maintain the cleanliness and organization of adjacent work areas such as the waiting area and staff kitchen. The position demands a committed individual with excellent computer, organizational, verbal, and written communication skills who embraces the mission and vision of Thomas MacLaren School. Two or more years of experience in an administrative capacity, preferably within schools, are highly valued.

Job Duties
- Processing daily attendance including maintaining attendance records and updating student records in PowerSchool
- Communicating with parents and staff regarding attendance issues via in person, telephone or letter
- Contacting parents to verify student absences
- Ensuring accuracy of attendance records
- Running hourly attendance reports and following up with instructors who have not taken attendance
- Writing tardy passes or passes to leave class if necessary
- Providing a welcoming atmosphere as the school receptionist greeting visitors, students, families and staff with professionalism and friendliness
- Shifting quickly between multiple tasks without loss of continuity
- Providing secretarial and administrative support to faculty and administrative staff
- Supporting classroom supply needs and setup
- Serving as a central point of communication for families and staff
- Assisting with front desk tasks as assigned by Front Desk Lead including maintaining office supply inventory and volunteer support
- Acting as delegated health staff when needed
- Maintaining cleanliness of adjacent work areas such as waiting areas and staff kitchen
- Performing other duties as assigned by the Executive Director
