The Facilities Manager role is a unique and dynamic opportunity within this organization. Reporting directly to the Chief Operating Officer, the Facilities Manager is a full-time, exempt position responsible for the comprehensive oversight and maintenance of several newly constructed buildings alongside a small portfolio of older properties. This role requires a proactive, hands-on leader who can navigate both strategic facility management and ground-level operational tasks with effective problem-solving skills.

The successful candidate will lead a high-performing maintenance team charged with managing day-to-day operational needs, executing preventative maintenance programs, ensuring compliance with building codes and safety regulations, and managing vendor relationships and contracts. The Facilities Manager will have a key role in stewarding the organization's capital infrastructure, administering budgets, and supporting continuous improvement initiatives to maintain peak facility performance.

Key responsibilities include supervising all aspects of facility operations across multiple types of properties such as office spaces, group living areas, and independent living apartments. The manager will ensure that all facilities adhere to federal, state, and local regulatory standards, overseeing fire and life safety inspections and implementing corrective actions where necessary. Vendor and contract management will be central to the role, involving competitive sourcing, negotiation, performance evaluation, and inventory oversight for maintenance and janitorial supplies.

Grounds keeping, building repairs, vehicle maintenance, and asset management also fall under this position’s remit. The Facilities Manager will regularly travel between multiple sites to oversee operations, coordinate vendor work, and support facility transitions that minimize disruption and maintain continuity of services. This role includes occasional on-call duties to respond promptly to emergencies or maintenance issues outside regular business hours.

The ideal candidate is someone with at least 3-5 years of supervisory experience in managing multiple property maintenance functions, coupled with strong technical knowledge of building systems and safety codes. Experience with HVAC, electrical systems, and capital project management are highly valued. Effective communication skills, independent work capability, proficiency with Microsoft Office tools, and a collaborative approach to working with leadership and program teams are essential for success.

Job Requirements

  • Valid driver’s license and sufficient insurance limits to be disclosed prior to offer
  • Able to operate agency vehicles, including but not limited to box truck and multi-passenger van
  • Able to access personal vehicle to perform essential job duties
  • Able to seize, hold, grasp, turn, or otherwise work with hands and fingers including to operate power tools
  • Proof of vaccination for MMR, Varicella, and annual flu shot
  • Adherence to a non-smoking/no-tobacco work environment
  • Able to perform job functions on occasional hot or cold days
  • Able to sit and/or stand for prolonged periods
  • Able to ascend and descend stairs using legs and feet
  • Able to lift 50 pounds on a regular basis and up to 75 pounds occasionally
  • Able to bend, stoop, twist, squat, and kneel to perform essential functions
  • Able to reach overhead and at or below shoulder level
  • Able to read, write, distinguish, and speak English in order to communicate with colleagues, clients, and vendors
  • Exposure to various cleaning chemicals
  • Exposure to loud noises such as lawn mowers, snow blowers, drills, etc
  • Able to visually inspect facilities
  • Must meet all federal, state, and local health regulations which include criminal background investigation and reference inquiries
  • Requires occasional on-call response outside of regular schedule including nights and weekends

Job Qualifications

  • High school diploma or equivalent
  • Bachelor’s degree in engineering or another related field or equivalent preferred
  • 3-5 years’ experience supervising maintenance needs for multiple properties on a variety of shifts required
  • Demonstrable planning and scheduling skills
  • Must be well versed in Microsoft Office tools (Excel, Word, PowerPoint and Outlook)
  • Demonstrated experience managing facilities operations, capital projects, and maintenance programs
  • Strong knowledge of building systems, safety regulations, fire codes, and inspection processes
  • Experience managing budgets, capital planning, and vendor contracts
  • Ability to perform and/or oversee general maintenance tasks across multiple trades
  • Strong organizational and documentation skills with excellent follow-through and attention to detail
  • Effective communicator with the ability to work independently and collaboratively with cross-functional teams
  • CBRF certification preferred (training available if needed)
  • Experience with HVAC and electrical systems preferred
  • Experience working within a healthcare or social services organization preferred

Job Duties

  • Manage all facilities-related operations and capital infrastructure for multiple buildings including office space, group living areas, and independent-living apartment buildings
  • Oversee and administer the annual facilities operating budget and the organization’s capital budget, ensuring fiscal stewardship and long-term planning
  • Develop and implement preventative maintenance programs to protect new construction investments while extending the life of older facilities and equipment
  • Ensure all facilities, equipment, and infrastructure comply with applicable federal, state, and local codes and regulations
  • Supervise and ensure compliance with all fire, life safety, and building inspections
  • Lead corrective action planning and implementation for all facilities-related findings and inspection outcomes
  • Oversee security vendor contracts and support with security camera monitoring
