As an entry-level Facilities Construction Project Coordinator, your role will revolve around supporting project managers, contractors, and other stakeholders to streamline construction project processes. You will play a pivotal role in project planning, sequencing, and execution, handling responsibilities such as developing schedules, tracking project milestones, monitoring progress, and managing documentation. This includes creating reports, maintaining records like pay applications, purchase orders, and change orders, and ensuring all project documentation is up to date and well organized. You will also coordinate meetings, facilitate communication among project teams, clients, and vendors, and occasionally attend job site meetings to represent project managers.

This position is designed to give you comprehensive exposure to construction project coordination, allowing you to build a solid foundation in construction processes, project documentation, and stakeholder communications. You will gain valuable experience with tools such as Microsoft Office Suite, including Word, Excel, PowerPoint, SharePoint, Outlook, and Microsoft Projects. Strong organizational skills and attention to detail are essential as you will handle multiple priorities, track timelines, document meeting outcomes, and help anticipate and resolve potential project delays.

The role requires flexibility with working hours, including evenings, weekends, and holidays as needed to ensure timely project completion. Job Requirements

  • Associate degree from a two-year college or university or one to three years of related experience and/or training or equivalent combination of education and experience
  • Entry level knowledge of construction processes preferred
  • Ability to work outside of normal business hours, evenings, weekends, and/or holidays to ensure projects are completed in a timely manner
  • Strong communication and interpersonal skills
  • Strong organizational and time management skills
  • Attention to detail
  • Basic proficiency with Microsoft Office suite

Job Qualifications

Job Duties

  • Collaborate with project managers to facilitate smooth project execution
  • Assist in creating project schedules, milestones, and timelines in alignment with project goals
  • Track and monitor progress
  • identify and communicate potential delays
  • Research and assist in sourcing materials, equipment, and supplies required for projects
  • Prepare, distribute and maintain project documentation and/or files
  • Coordinate calendars and timelines for project managers and schedule appointments
  • Record discussions at meetings
  • prepare, distribute, and maintain project meeting minutes and action logs
  • Support project managers in facilitating clear and effective communication between project teams, clients, vendors, and subcontractors
  • Interact with a diverse group of external and internal contractors at all levels
  • Participate in design/construction meetings via in-person or virtual
  • Occasionally attend jobsite meetings on behalf of project manager and report meeting minutes to office immediately as required after meeting
  • Prepare regular progress reports for project managers, highlighting key milestones and issues
