The Facilities Assistant role at Gensler is a crucial position within the Office Services Team, dedicated to maintaining the aesthetic and functional quality of a high-end office environment. This role supports the daily operations of an office housing over 500 employees across five floors, ensuring that all common areas such as meeting rooms, pantries, kitchens, reception areas, and restrooms are kept clean, organized, and welcoming. The Facilities Assistant contributes significantly to creating a positive and professional atmosphere that reflects Gensler's standards of excellence.

Responsibilities include maintaining conference rooms and meeting spaces by preparing and cleaning tables, boards, and technology components, and ensuring office supplies are neatly arranged. The role also involves pantry upkeep, including dishwashing and ensuring cleanliness throughout the day. The Facilities Assistant ensures general office areas are tidy through vacuuming, mopping, dusting, and surface care. Additionally, the position includes restroom maintenance and light facility maintenance tasks like restocking supplies and replacing light bulbs.

Ideal candidates will have at least two years of direct experience in facilities or custodial maintenance, preferably in a mid to large-sized corporate environment. The ability to multi-task in a fast-paced setting, take initiative, and assist beyond general responsibilities is essential. Physical demands include the ability to lift over 35 pounds. The role is full-time, typically from 7:00 a.m. to 4:00 p.m., with additional hours as necessary.

Job Duties

  • Provide full range of office maintenance for an office of 500+ people on 5 floors
  • Prepare and maintain meeting spaces throughout the day
  • Ensure conference room tables, dry erase boards, and walls are clean
  • Organize papers and other materials in meeting rooms
  • Ensure chairs are pushed in and lined up
  • Maintain office supplies neatly arranged
  • Keep technology components neat and orderly with wires safely stowed
  • Keep pantries clean and orderly at all times
  • Collect dishes from bus bins and load dishwashers
  • Remove clean dishes from dishwasher and place back into rotation
  • Ensure dishwasher is loaded and run at end of day
  • Maintain assigned office areas such as reception, common areas, pantries, and restrooms
  • Greet incoming clients and vendors and direct them appropriately
  • Perform floor care including vacuuming, mopping, and carpet spotting
  • Perform surface care such as dusting, sanitizing, glass/mirror/window cleaning, polishing metal/wood, cleaning blinds and draperies
  • Empty trash and recycle bins and transport waste to disposal areas
  • Perform light maintenance including replacing light bulbs and restocking supply cabinets
  • Maintain restrooms by emptying trash, restocking products, and cleaning glass, mirrors, counters, and partitions
