As the Experiential Marketing Coordinator, you will be responsible for delivering flawless event execution from start to finish, leveraging operational skills to create meaningful interactions that convert attendees into engaged leads and potential customers.
This role involves managing the end-to-end logistics of Candid's participation in third-party conferences, including booth setup, vendor coordination, sponsorship deliverables, staffing arrangements, and lead capture processes. You will also play a vital role in supporting community-focused events like regional builder meetups and practitioner gatherings by overseeing every logistical detail to ensure a high-quality, consistent experience that fosters community relationships.
In addition to these responsibilities, the coordinator will support the seamless execution of Candid-owned flagship events in partnership with cross-functional teams spanning marketing, sales, product, and external vendors. This includes managing timelines, crafting run-of-show documents, coordinating speaker logistics, and ensuring on-site execution runs smoothly. An important aspect of the role is lead management — owning the complete lead flow from event capture to Salesforce import, ensuring accurate attribution, and collaborating with the marketing team to design effective post-event nurture campaigns in HubSpot.
Financial stewardship is another critical component, as the Experiential Marketing Coordinator will be responsible for sourcing and negotiating with vendors, tracking event budgets, and optimizing costs without compromising quality. This position acts as the central hub for coordinating event logistics across internal teams, ensuring alignment on event goals, staffing, and follow-ups with clear, proactive communication.
To excel, the candidate must also coordinate event content and asset delivery, working closely with marketing to ensure all collateral is on-brand and targeted to the specific audience. Job Requirements
- 2-4 years of experience in event marketing, field marketing, or event coordination ideally within B2B SaaS or Healthcare Tech
- Proven track record of executing conferences and events end-to-end with minimal oversight
- Hands-on experience with HubSpot or a comparable marketing automation platform and Salesforce including lead import, campaign attribution, and post-event nurture workflows
- Experience with lead retrieval tools such as Cvent, Popl, Blinq, Bizzabo, Exhibitview, or badge scanners is a plus but not required
- Exceptional organizational skills with ability to manage multiple events simultaneously
- Strong vendor management and negotiation skills
- A collaborative, low-ego working style
- Ability to travel as needed to support on-site event execution
Job Qualifications
