At UnityPoint Clinic, the role of an Experience Specialist/Receptionist at the Ingersoll Urgent Care location plays a crucial part in enhancing patient and visitor experiences. This full-time position involves working a schedule of two 8-hour shifts and two 12-hour shifts per week, including one weekend per month. The Experience Specialist/Receptionist serves as the first point of contact, embodying warmth and professionalism to create a welcoming environment. Responsibilities combine front desk administrative duties with customer service excellence, ensuring smooth clinic operations and efficient patient flow. Key tasks include greeting patients and visitors, verifying and updating personal and insurance information, managing appointments using the electronic health record system, and handling incoming communications. This role requires meticulous attention to detail, strong interpersonal skills, and proficiency with computer software. The Experience Specialist also assists with payment processing, maintains confidentiality following HIPAA regulations, and coordinates with clinical staff to minimize wait times. Job Duties

  • greet patients and visitors with warmth and professionalism, creating a welcoming environment
  • check patients in and out, verify personal and insurance information, and update records as needed
  • schedule, confirm, and manage patient appointments using the clinic's electronic health record (EHR) system
  • answer incoming phone calls, respond to inquiries, and direct calls to the appropriate departments
  • collect and process payments, issue receipts, and assist with billing questions
  • maintain confidentiality of all patient records and comply with HIPAA regulations
  • monitor the waiting area to ensure cleanliness, comfort, and an organized flow of traffic
  • coordinate with clinical staff to manage patient flow and minimize wait times
  • perform general administrative duties such as data entry, filing, faxing, and scanning documents
  • assist in onboarding new patients and educating them on clinic policies and procedures
