These events include popular and signature programs like Spark!Fishers, Fishers Lu'au, Monsoon Madness, Glow in the Park, Boo Bash, and free and ticketed concerts, along with the Fishers Farmers Market and numerous pop-up events.
This position requires a highly organized, proactive individual who excels in managing multiple projects simultaneously and thrives in a dynamic, collaborative setting. The Experience Coordinator will work closely with both internal teams such as Marketing/PR, Public Safety, and Public Works, and external stakeholders including vendors, local organizations, and contractors, ensuring every event delivers a world-class experience for all participants and guests. The role also involves significant logistical management including permitting, vendor negotiation, site planning, and staffing oversight.

Job Requirements
- Bachelor's degree from an accredited college or university preferred
- Three or more years of experience in event planning preferred
- Valid driver's license and ability to be insured to drive a city vehicle required
- Ability to work evenings and weekends required
- Working knowledge of office software including Outlook, Word, Excel, PowerPoint, Adobe, etc.
- Work is physical in nature requiring the ability to lift and carry at least 25 lbs
- Work requires frequent standing, walking, bending and lifting
- Working knowledge of registration software preferred
- Knowledge of principles, practices, and procedures used to coordinate events
- Strong customer service skills
- Ability to communicate with a variety of people verbally and in writing
- Ability to work under sometimes stressful and difficult situations
- Ability to work on multiple projects at one time required
- Must have strong time management skills and be able to meet multiple deadlines

Job Duties
- Plan, coordinate and lead programs, activities, and special events as assigned
- Assist PR/Marketing team in creating a strategic marketing plan for each event including announcement, social media needs, graphic design, event signage orders, and website updates
- Manage all logistical aspects of programs and events including permitting, run of event, vendor management, creation of site maps, set-up and tear-down responsibilities, and staff coverage
- Communicate and coordinate needs and adhere to deadlines with internal departments such as Marketing/PR, Public Safety, Public Works, and outside contractors/agencies
- Provide onsite management for events including event staff/volunteer supervision, vendor management, alcohol management, and conflict resolution
- Provide exceptional customer service both internally and externally
- Supervise seasonal program staff and volunteers
- Gather feedback and provide post-event evaluations and follow-up including financial assessment of each program or event
- Pursue and maintain partnership opportunities with local organizations and vendors
- Coordinate advance hospitality and production for events with live entertainment
- Perform administrative duties including managing program registration and participation, tracking event budgets, purchasing, and keeping equipment and supply inventory updated
- Perform additional duties as assigned
