This contingent hire position is specifically for a Program Manager – Events role supporting the National Science Foundation's Office of Legislative and Public Affairs (OLPA). The employment is contingent on EDJ Associates receiving a contract or task order award from NSF. This hybrid role requires significant on-site work at NSF Headquarters and various event locations to provide comprehensive event planning, logistics coordination, and on-site execution support. The successful candidate will play a key role in ensuring the smooth operation of high-profile meetings, conferences, exhibits, and outreach events that are critical to advancing NSF's public and legislative engagement.
The Program Manager – Events will be responsible for managing all logistical aspects of in-person, hybrid, and virtual events. This includes selecting and managing venues, coordinating with vendors, overseeing shipping and setup, and ensuring proper teardown after events. Additionally, the role involves supporting exhibit design and booth deployment, managing inventory of educational resources and outreach materials, and coordinating speakers, moderators, and RSVP lists. The Program Manager will develop and maintain timelines, run-of-show documents, and status reports while ensuring compliance with NSF branding standards and Section 508 accessibility requirements. Travel may be required to support events outside the headquarters.
Candidates for this role must have extensive experience—at least eight years—in managing large-scale federal or public-sector events, demonstrating proficiency with Microsoft Office Suite and event management platforms such as Eventbrite. A strong ability to juggle multiple events concurrently while maintaining high visibility and attention to detail is essential. Excellent communication, organizational, and problem-solving skills are critical to success, alongside the physical ability to lift and maneuver event equipment weighing over 50 pounds as part of on-site event setup and breakdown. A bachelor's degree or equivalent professional experience is required, with preference given to candidates who have previously supported federal agencies or public-sector events.

Job Duties
- Plan and coordinate logistics for in-person, hybrid, and virtual events
- Manage venues, vendors, shipping, setup, breakdown, and on-site operations
- Support exhibit design, booth deployment, and inventory management
- Coordinate speakers, moderators, RSVPs, and event platforms
- Develop run-of-show documents, timelines, and status reports
- Ensure compliance with NSF branding and Section 508 requirements
- Support travel coordination in accordance with Federal Travel Regulations
- Provide on-site support and rapid issue resolution during events
- Provide logistics support for a variety of meetings, events and conferences
- Provide direct support to internal and external events including managing venue requirements, signage, invitations, attendance, and other requirements
- Research requirements and context for various events to ensure preparedness of NSF Director and OLPA Staff
- Identify and manage inventory for educational information resources and other outreach materials
- Coordinate exhibit design, technology, and management with designated vendors and partners
- Provide expert guidance on efficient and effective options for exhibits and activations
- Maneuver heavy equipment (50+ lbs) for onsite events and exhibits
- Adapt onsite events and logistics skills to virtual platforms
- Travel when required
