This position, Exhibitor Showsite Coordinator, is central to GES's mission of providing outstanding support and operational excellence to customers who exhibit at a variety of events including tradeshows, conventions, and special events produced by GES. The coordinator plays a pivotal role in ensuring a seamless experience from the pre-show planning stages through to onsite execution and post-show activities. Reporting directly to the Manager of Exhibitor Success, this role is ideal for candidates who are organized, detail-oriented, and passionate about customer service and event coordination.

The Exhibitor Showsite Coordinator is responsible for a wide array of duties that encompass all aspects of the exhibitor’s on-site experience. This includes active participation in the pre-show planning process to ensure all preparations meet customer expectations and event requirements. During the event, the coordinator manages critical daily tasks such as setting up and breaking down the service center, maintaining and processing orders, labor allocations, billing, and collections. This position demands meticulous attention to detail to accurately conduct invoice reviews with customers, ensuring clarity and satisfaction with financial transactions.

Beyond administrative tasks, the Exhibitor Showsite Coordinator acts as the frontline liaison between exhibitors and internal GES teams, fostering strong communication and collaboration to resolve challenges and deliver a positive event experience. The role requires a customer service mindset, adaptability to changing schedules and demands, and the ability to work effectively both independently and as part of a team. Due to the nature of events, the position involves flexibility to work nights, weekends, and overtime during busy periods, as well as the capacity to travel extensively—up to 50-75% of the time—to support various GES facilities nationally.

Job Requirements

  • 1+ years in customer service or related field

Job Duties

  • Actively participate in the pre-show planning process
  • Participate in timely completion of show site tasks including setting up and breaking down the Service Center
  • Create, maintain, process, and complete all orders/labor, billing, and collection requirements
  • Conduct invoice reviews with customers as needed
  • Assist on projects as assigned
