The position plays a critical role in maintaining an efficient, welcoming, and professional environment for all staff, visitors, and partners who enter the system office. In the role of Executive Receptionist/Mail Specialist, you will be the primary liaison welcoming and assisting internal and external visitors, including employees, physicians, executives, vendors, board members, and community partners. Your daily interactions will be vital for providing excellent customer service, managing high-volume multi-line telephone systems, scheduling conference rooms, and ensuring that the corporate headquarters environment remains presentable and fully functional. Responsibilities extend to maintaining meeting rooms, coffee stations, and other communal areas, helping to create a professional and hospitable atmosphere that aligns with Legacy Health’s mission and values.
Additionally, you will manage the timely and accurate distribution of mail throughout the Legacy Health System Office. This includes processing large volumes of mail efficiently while ensuring that office supplies are consistently stocked and available. Job Requirements
- High school diploma or equivalent
- three to five years of relevant experience
- demonstrated ability to manage multiple tasks concurrently
- proficiency in using telephone systems and mail distribution equipment
