The Executive Receptionist for the Office of the President is a vital role responsible for serving as the first point of contact for all visitors, faculty, staff, and stakeholders who engage with the university's top administration. This position requires exceptional customer service skills in person, over the phone, and through email correspondence. The Executive Receptionist supports the President’s staff by ensuring operational efficiency within the office, including managing office supplies, maintaining functional technology systems, coordinating security and building access, and keeping the office environment professional and welcoming. Acting as a liaison with university departments such as University of Minnesota Police Department (UMPD) and Facilities Management, this role also helps maintain building security and oversees maintenance needs.
This role demands a high degree of organizational acumen, as the receptionist schedules and coordinates the President’s daily itinerary, prepares office materials ensuring accuracy and consistent formatting, and assists with project support and event coordination, including hospitality planning for events at Huntington Bank Stadium. The Executive Receptionist plays a critical role in ensuring that the President and senior leadership remain informed, prepared, and on schedule. Working Monday through Friday from 8am to 5pm, with a hybrid work mode on Fridays, this position requires flexibility, a proactive mindset, and a collaborative spirit while also being able to work independently with a high level of initiative.
The ideal candidate will have a strong background in administrative support and customer service, proven skills in using Microsoft Office Suite, Google Workspace tools, Zoom, and electronic calendaring systems. Experience handling confidential information with discretion and working effectively in a fast-paced, deadline-driven environment is essential. A welcoming and professional demeanor, combined with excellent interpersonal, oral, and written communication skills and the ability to manage competing priorities, will ensure success in this dynamic role. Job Duties
- Provide administrative support to the Office of the President staff and all visitors
- establish and maintain formatting and production standards for Office of the President materials
- coordinate and edit for accuracy all printed materials, including executive speaking remarks and correspondence
- monitor schedules for the Office of the President and oversee logistical preparation for appointments and visitors
- triage and distribute incoming mail
- assist with project support, event planning, and hospitality for home football games
- make recommendations to improve office operations efficiency
- order office supplies and monitor inventory
- create and support a positive, team-oriented working environment
- welcome all visitors and ensure a professional front desk experience
- lead daily front desk operations focusing on customer service and organization
- collaborate with President's Office members to prepare for meetings and emergency situations
- respond promptly to voicemails and emails and make appropriate referrals
- liaise with front-line staff across the University
- work with UMPD on building security processes and monitor security cameras
- maintain office physical environment to professional standards
- coordinate with Facilities Management for maintenance needs
- manage office filing systems and records
