The role of Executive Receptionist at FM is critical to maintaining the smooth functioning of its corporate offices and executive operations. This full-time, office-based position demands exceptional organizational skills, discretion, and the ability to anticipate and fulfill the needs of an executive team comprising 8 to 10 senior leaders as well as interstate engagements with members of the Board of Directors. The Executive Receptionist serves as the polished front-facing representative and a professional liaison, ensuring all visitors, executives, and board members experience seamless interactions and support.

Occupying a high-visibility, fast-paced environment across two full office floors covering 56,000 rentable square feet, this position coordinates complex scheduling, manages logistics, and supports an array of executive meetings and corporate events with precision and responsiveness. The role includes responsibilities such as welcoming and managing visitors and security protocols, coordinating logistics for board meetings, tracking action items, and partnering with office operations teams to drive office efficiency and maintain a professional atmosphere.

Candidates should expect to manage a variety of duties including visitor management, executive support, administrative office operations, event coordination, and communication handling with utmost confidentiality. The role commands a high level of executive presence, customer focus, and problem-solving ability, along with proficient use of Microsoft Office and business systems. Relocation assistance is not offered for this position. Job Requirements

Job Qualifications

  • 5 plus years of administrative, receptionist, or executive support experience
  • experience supporting senior executives VP level or higher preferred
  • proficiency in Microsoft Office Suite Outlook, Word, Excel, PowerPoint
  • experience with HRIS or business systems such as Workday preferred
  • strong familiarity with scheduling tools and office coordination systems

Job Duties

  • greet and welcome visitors, clients, and employees professionally and engagingly

  • manage incoming mail, packages, and deliveries
  • oversee visitor access, badging, and security protocols using online systems
