The Executive Meeting Manager role at CMC Hospitality is an exciting opportunity for a passionate hospitality professional who thrives in a dynamic and client-focused setting. This position involves managing small group events of 50 people or less, ensuring every detail from booking to billing is flawlessly executed. The Executive Meeting Manager acts as the crucial link between clients and hotel operations, coordinating all aspects of the event including catering, room blocks, audio-visual needs, and billing. This role demands exceptional organizational skills, the ability to manage multiple concurrent tasks, and a proactive approach to client communication and service delivery.

The position requires strong sales acumen as the Executive Meeting Manager will actively prospect and secure business while also upselling services to maximize revenue. Collaboration across hotel departments is key to ensure all client needs and contractual obligations are met with precision. This role is well-suited to detail-oriented individuals who excel in a fast-paced environment and aim to foster repeat business through high-quality event execution and client satisfaction.

As part of your duties, you'll create and manage sales proposals, contracts, banquet event orders, and group resumes to ensure seamless communication across all involved parties. You'll need to monitor contractual agreements, enforce deadlines, and maintain accuracy in forecasting group rooms and food and beverage revenue. The role requires flexibility, working some evenings, weekends, and holidays according to event schedules and industry demands. Job Requirements

  • Associate’s or Bachelor’s degree preferred
  • Minimum of 2 years of experience in hospitality sales, event management, or a related field
  • Strong mathematical and analytical skills
  • Excellent organizational skills with strong attention to detail
  • Ability to execute confidentiality agreements
  • Experience in a full-service hotel environment preferred
  • Proficiency in hotel systems and Microsoft Office
  • Strong interpersonal and communication skills

Job Qualifications

  • Excellent organizational skills with strong attention to detail
  • Ability to execute confidentiality agreements (non-disclosure and non-compete)
  • Experience in a full-service hotel environment preferred
  • Proficiency in hotel systems (CI/TY or similar) and Microsoft Office (Word, Excel) preferred
  • Strong interpersonal, communication, and client service skills preferred

Job Duties

  • Deliver exceptional experiences for planners by delivering a one-stop sales and detail process, with a focus on building long-term client relationships and repeat business
  • Work with groups of 50 or less both from to prepare sales-related documents throughout the sales process (e.g., proposals, contracts, banquet event orders)
  • Manage all phases of group business, including pre-event planning, on-site execution, billing and post-event follow-up
  • Coordinate all event details, including room blocks, meeting space, catering, audio-visual needs, and special concessions
  • Monitor and enforce contractual agreements, including key dates, cutoff deadlines, billing arrangements, and concessions
  • Respond promptly and professionally to all internal and external communications, representing The Westin Raleigh-Durham Airport with clarity and consistency
  • Prepare and distribute group resumes and banquet event orders (BEOs)
  • Communicate all group-specific details, including rooming lists, history and event specifications to hotel departments in a timely manner
  • Develop in-depth knowledge of the hotel’s food & beverage offerings, pricing, and presentation standards
  • Support revenue generation by assisting in the sale of guest rooms and banquet services, as directed
  • Accurately forecast group rooms and food & beverage revenue for assigned business
