The Executive Liaison role within MassMutual’s Project Governance and Delivery organization offers a dynamic opportunity for a detail-oriented, proactive, and highly organized professional to provide senior-level administrative and operational support. This team includes the Corporate Functions Program Management Office (CFPMO) and Strategy, Planning & Delivery (SP&D), both crucial to maintaining disciplined execution, effective governance, and leadership engagement across Corporate Functions and the broader Investment Management business.

This full-time position is based in Springfield, Massachusetts with a hybrid work schedule, supporting senior leaders and executives in a fast-paced environment. The Executive Liaison will be integral in managing complex calendars for the Executive Leadership Team (ELT) and Senior Leadership Team (SLT), coordinating high-priority meetings and governance forums, and preparing executive-ready communications and materials. The role demands sound judgment, flexibility, and the ability to handle multiple priorities with precision and confidentiality.

Key responsibilities include scheduling coordination across multiple time zones, conflict resolution for high-level leaders, preparing presentation materials, drafting executive communications such as memos and talking points, supporting agenda planning and follow-up, facilitating travel and expense management, and driving process improvements through technology tools like Microsoft 365. Additionally, the Executive Liaison will organize executive events and offsites, manage budget and vendor relationships, and contribute to business continuity efforts through the Office of Enterprise Resilience.

Job Requirements

  • High school diploma or equivalent diploma
  • 3+ years of related experience in executive administration, office manager, or administrative support role
  • Proven ability to manage complex calendars and prioritize tasks
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Ability to work proactively in a fast-paced, deadline-driven environment
  • Experience with travel and expense coordination

Job Qualifications

  • Associate's degree
  • 5+ years of senior executive administration or office manager experience in financial services
  • 2+ years event planning, calendar management, and meeting coordination
  • Proficient with PowerPoint, Excel, Ariba, Concur, and related technology
  • Strong written and verbal communication skills
  • High attention to detail and time management
  • Proactive and collaborative work ethic
  • Ability to build strong interpersonal relationships
  • Innovative mindset anticipating business needs
  • Skilled with communication tools like Zoom, Teams, Slack
  • Experience supporting executive governance routines and senior stakeholder engagements

Job Duties

  • Own complex executive calendar strategy by prioritizing and protecting focus time, coordinate scheduling across multiple time zones, efficiently resolve conflicts for senior leaders
  • Draft, edit, and proofread executive communications and materials including memos, presentations, talking points, ensuring accuracy and appropriate tone
  • Coordinate recurring operating rhythms such as staff meetings, leadership reviews, governance forums, support agenda planning, action item capture, and follow-up tracking
  • Assist with business operations including planning cycles, governance deliverables, leadership engagement materials, Demand Capacity metrics, and maintain project governance artifacts
  • Arrange extensive domestic and international travel, manage itineraries and changes, prepare and submit expense reports ensuring policy compliance
  • Plan and execute executive meetings, governance sessions, leadership offsites, conferences, coordinate logistics, vendor management, attendee communications, catering, and readiness support
  • Identify opportunities to streamline administrative processes and meeting cadences leveraging technology like Microsoft 365
  • Support business continuity and resilience efforts by assisting with Office of Enterprise Resilience planning, documentation, coordination of annual validations, and stakeholder partnering
