Job Requirements
- High school diploma or equivalent
- associate's degree in business administration preferred
- five to seven years progressively responsible experience in administrative support functions including municipal government
- one to three years in senior clerical support capacity
- ability to work independently with minimal supervision
- strong organizational and communication skills
- proficiency with Munis System and Accela Automation or similar software
- experience managing clerical, fiscal, and accounting activities
- knowledge of municipal government purchasing, personnel, and accounting procedures

Job Duties
- Perform research and administrative staff work for the Building Commissioner
- assist with clerical duties including answering phones, opening and responding to mail, handling public requests and daily emails
- schedule and prepare for meetings
- develop and establish new and revised administrative and clerical policies and procedures
- compose correspondence for the Commissioner independently or based on instructions
- analyze, summarize, and condense reports, statistics, and computer-generated materials
- operate and maintain the department's computerized systems such as the Munis System
- supervise clerical, fiscal, and accounting department activities including budgeting, payroll, purchasing, and supplies
- prepare bid proposals and purchasing contracts related to building condemnation and debris removal
- provide extensive customer service including telephone and counter work
- assist in planning and implementing departmental computerization systems including Accela Automation
- issue permits, write letters, perform computer work, and generate monthly reports
- collaborate with the Zoning Division on data input and communication
- attend meetings on budgetary and personnel matters
- conduct interviews and training for clerical staff
- maintain employee records including attendance
- analyze sensitive data and verify documentation
- plan and complete complex administrative duties
- supervise support staff workflow ensuring accuracy and quality
- ensure office coverage during business hours
- perform other related duties as required
