The position of Executive Assistant to the President and Office Manager is a full-time, salaried, exempt role reporting directly to the President of the Milwaukee Bucks. This role is instrumental in providing comprehensive administrative, business, and personal assistance to the President and Ownership group. The successful candidate will leverage exceptional interpersonal skills, discretion, and sound judgment to handle sensitive and confidential matters with the utmost integrity and professionalism. They will be responsible for managing a complex and heavy calendar filled with internal and external meetings, reservations, and events, requiring outstanding organizational abilities and the capacity to manage multiple priorities in a fast-paced, dynamic environment.

Additionally, the Executive Assistant acts as a critical liaison between various stakeholders including ownership, VIPs, vendors, customers, and internal staff, ensuring seamless communication and coordination. The role includes responsibilities such as coordinating travel arrangements for both business and personal needs and preparing detailed itineraries, managing game day operations for the Trophy Room (owner suite) including food and beverage coordination, and overseeing ticket requests and credentials. This position requires proactive and forward-thinking skills, strong written and verbal communication capabilities, and a demonstrated ability to handle administrative processes independently while maintaining a professional and approachable demeanor.

Job Requirements

  • Minimum of two year degree in Business Administration or five years of equivalent work experience as Executive Assistant
  • Basic knowledge and understanding of risk management
  • Computer literacy within a Windows environment
  • Strong customer relations and communications skills verbal and written
  • Experience in project or process supervision
  • Articulate, proactive and forward thinking
  • Judgment to independently handle a variety of administrative details and confidential matters with the highest level of integrity
  • Outstanding organizational skills
  • Capable of managing multiple priorities in a dynamic, ever-changing, and stress-filled environment
  • Valid driver’s license

Job Duties

  • Manage, plan, and organize heavy calendaring for internal and external meetings, reservations and events
  • Coordinate travel arrangements including flights, hotels and car service and prepare detailed itineraries
  • Compose, type, and prepare correspondence, memos, presentations, confidential materials on behalf of the President
  • Serve as the ownership liaison, overseeing home/road ticket requests, credential requests, and ownership guest/family game day needs
  • Act as a VIP liaison overseeing arrival, tickets, and escort needs throughout game days
  • Manage the Trophy Room on game days including guest list management and coordination with Levy and the Executive Chef for food and beverage requests
  • Communicate with high-level contacts inside and outside the company such as vendors, customers, and ownership
  • Handle comp ticket requests and forward them appropriately
  • Perform general office duties including expense reports, check requests, DocuWare approvals, answering phones, copying, and scanning
  • Handle sensitive and confidential information with discretion
  • Manage the President’s game tickets for the season
  • Order office supplies, food, and UPS items as needed
  • Monitor incoming mail
  • Prepare and submit Milwaukee Lobbying Principal Expense Statements and registrations
  • Manage Summer League travel and ticket needs
  • Oversee private aviation account
  • Submit autograph session requests on behalf of the President and Ownership
  • Provide availability to support operations beyond regular business hours including evenings, weekends, and urgent situations
