The Senior Executive Assistant role is a critical position within this dynamic organization. It offers the unique opportunity to work directly alongside the CEO and founder, serving as a trusted and indispensable partner. This role involves leading and mentoring a team of three administrative assistants, managing complex executive schedules, and ensuring seamless coordination across various business activities. The successful candidate will possess a rare blend of organizational mastery, leadership skills, and communication finesse, all of which are essential to drive performance and maintain the highest standards of support for the executive office.

This is a full-time, in-office position based in a modern, beautifully appointed family office, requiring flexibility in working hours to accommodate a demanding and varied schedule. The role includes significant travel and requires someone who is comfortable managing dynamic and evolving priorities in a fast-paced setting. The base salary ranges from $175,000 to $225,000, supplemented by a generous bonus structure and comprehensive benefits package, including paid time off. Ideal candidates will have extensive experience supporting CEOs or senior executives, a proven track record of long-term dedication, and prior leadership or supervisory experience. Advanced degrees such as a Bachelor’s Degree, MBA, or equivalent are highly desirable. The role demands keen attention to detail, unshakable organization, and polished communication skills, both written and oral. The Senior Executive Assistant will play a pivotal role in ensuring the smooth operation of executive functions and mentoring a capable support team to elevate the entire administrative function of the organization.

Job Requirements

  • Bachelor’s degree or equivalent experience
  • Significant prior experience supporting a CEO or senior executive
  • Proven leadership or supervisory experience
  • Excellent communication skills both oral and written
  • Ability to work standard business hours with flexibility
  • In-office presence five days a week
  • Willingness to travel as required
  • Strong organizational skills with attention to detail
  • Ability to lead and mentor a team effectively

Job Qualifications

  • Prior team leadership or supervisory experience strongly preferred
  • Bachelor’s degree MBA or advanced degree preferred
  • Astute communication skills oral and written
  • Demonstrated history of long-term dedicated support to a CEO or senior executive
  • Proven ability to manage complex schedules and prioritize competing demands
  • Experience mentoring and developing administrative staff
  • High level of discretion and confidentiality in handling sensitive information

Job Duties

  • Manage a complex and dynamic executive calendar ensuring optimal prioritization and alignment with business objectives
  • Lead mentor and develop a team of three administrative professionals driving performance accountability and career development
  • Coordinate and prepare for meetings providing necessary documentation and logistical support
  • Manage significant travel arrangements and itineraries ensuring seamless transitions and schedules
  • Serve as a trusted liaison between the CEO and internal or external stakeholders maintaining confidentiality and professionalism
  • Oversee daily office operations within the family office environment supporting various business interests
  • Anticipate executive needs and provide proactive support to enhance productivity and efficiency
