The role of Executive Assistant & Events Manager at Strongpoint Partners is a critical position that offers the unique opportunity to support the company’s CEO while leading the entire events engine for the organization. This hybrid role, based in downtown Chicago, is designed for a dynamic professional who thrives in a fast-paced, complex environment and embraces flexibility and problem-solving. The Executive Assistant & Events Manager will be responsible for managing everything from the CEO’s travel and schedule coordination to overseeing the full lifecycle of firmwide and partner-platform events. This includes strategy development, logistical planning, vendor negotiations, on-site event execution, and post-event evaluation and reporting. This position requires a highly organized individual who naturally builds systems, manages multiple projects simultaneously, and remains composed when facing last-minute changes or unexpected challenges such as AV failures or scheduling adjustments.

This role is not just about administrative support but also requires leadership in event management, where the Executive Assistant & Events Manager will have direct exposure to senior leadership and meaningful opportunities for professional growth within the company. Being based in Chicago, the candidate must be able to commit to a hybrid work schedule, primarily in-office 3 to 4 days per week, and be physically present for event setups, execution, and leadership support. Job Requirements

  • 3-5 years of corporate event planning experience
  • experience managing large-scale, multi-day events with 100+ attendees
  • ability to manage full event lifecycle including venue contracts and day-of production
  • skilled in creating and maintaining organizational systems such as checklists, trackers, and timelines
  • flexibility to adapt to last-minute changes and ambiguity
  • must be local to Chicago or actively relocating
  • availability for in-person event support including evenings and weekends
  • strong communication skills across all organizational levels
  • proficiency in MS Office suite
  • knowledge of AI automation tools
  • ability to work independently and exercise good judgment
  • strong emotional intelligence and interpersonal skills

Job Qualifications

  • 3-5 years of experience in corporate event planning with demonstrated ownership of large-scale, multi-day events such as conferences, summits, or national meetings with 100+ attendees
  • prior experience running events start to finish from venue contract through day-of production, with examples of successful troubleshooting
  • ability to build systems instinctively including use of checklists, trackers, and timelines
  • flexibility and comfort with ambiguity and last-minute pivots
  • superior written and verbal communication skills for clear and professional interaction across all levels including senior leaders and external partners
  • proficiency with MS Office for PowerPoint, Word, and Excel
  • familiarity with AI tools like Claude, ChatGPT, and Co-Pilot for automating simple tasks
  • ability to operate independently with minimal direction while knowing when to ask for guidance
  • high emotional intelligence and genuine care for the experience of others

Job Duties

  • Provide direct coordination support to the CEO and senior leadership team
  • manage domestic travel logistics for leadership and event attendees including flights, hotels, ground transportation, and itineraries
  • anticipate needs, respond to last-minute requests, and stay reachable and available during event periods
  • support preparation of agendas, communications, and materials tied to events and partner engagement
  • handle sensitive and confidential information with appropriate discretion and judgment
  • own end-to-end planning and on-site execution for all Strongpoint firmwide and partner-platform events
  • manage all event logistics including venue sourcing and contract negotiation, catering, AV, hotel blocks, attendee communications, run-of-show, and day-of production
  • build and own a master events calendar and project plans for all active events simultaneously, maintain organized systems and documentation for every engagement
  • manage event budgets within approved parameters and deliver post-event financial reconciliation
  • partner with marketing, sales, and partner teams to align messaging, collateral, and communications with brand and business objectives
  • distribute post-event feedback surveys, synthesize results and bring forward clear recommendations
